We are seeking an organized and detail-oriented
Office Administrator / Receptionist
to support our administrative, financial, and operational functions. This role is essential in keeping our office running smoothly while supporting both field and office teams in a fast-paced construction environment.
Key Responsibilities
Oversee daily office operations, including organization, record-keeping, and general administrative functions.
Maintain office hours from 8:00 AM to 4:00 PM.
Manage bookkeeping tasks, including: Accounts receivable and accounts payable; Printing cheques and reconciling vendor accounts; Processing credit applications; Posting e-transfers; Following up on aging receivables.
Answer and direct phone calls, respond to inquiries, and manage general office communications.
Maintain and update project schedules; coordinate estimates, calendars, and meetings.
Support field operations with administrative and logistical tasks.
Assist with recruitment activities, including posting job vacancies and coordinating applicant communication.
Contribute to marketing initiatives such as trade shows, sales emails, and content creation.
Maintain strong client relationships through follow-up calls and excellent customer service.
Ensure compliance with company policies, procedures, and safety protocols.
Perform additional administrative duties as required to support overall business operations.
Qualifications
Strong proficiency in Microsoft Word and Google Workspace (G Suite).
Post-secondary education in business administration, office management, or a related field is an asset.
Experience with QuickBooks Online is an asset.
Excellent written and verbal communication skills.
Highly organized with strong time-management skills and exceptional attention to detail.
Ability to work independently with minimal supervision.
Valid driver's license and reliable transportation for office attendance and job-related tasks.
Job Type: Full-time
Pay: $48,000.00-$62,000.00 per year
