We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. The ideal candidate will possess strong communication, organizational, and management skills, with experience in office management, human resources, and bookkeeping. Duties
Manage calendar scheduling and coordinate appointments, meetings, and events
Oversee vendor management, including sourcing and maintaining relationships with suppliers and service providers
Handle human resources responsibilities such as onboarding, training & development, and employee records management
Perform bookkeeping and accounting tasks using QuickBooks or similar software, including invoicing and expense tracking
Manage payroll processing and ensure accurate record-keeping for staff compensation
Supervise office staff and coordinate team management activities to promote productivity
Oversee office supplies inventory, filing systems, and front desk operations including multi-line phone systems and phone etiquette
Organize event planning activities for company functions or client engagements
Maintain office budgets and assist with financial reporting as needed
Ensure compliance with company policies and procedures related to medical office management or other specialized areas as applicable

Qualifications
5+ Years experience
Proven experience in office administration, clerical work, or office management roles
Strong communication skills with excellent phone etiquette and interpersonal abilities
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience with QuickBooks, schedule management, vendor relations, and bookkeeping software
Supervising experience or team management skills preferred
Knowledge of human resources functions including payroll processing and employee training & development
Ability to handle front desk responsibilities effectively, including managing multi-line phone systems
Experience in event planning, budgeting, filing systems, and calendar management is advantageous
Prior experience in medical office management or related fields is a plus
