The Alpine Counselling Clinic in Vancouver (www.AlpineClinic.ca) is looking for a mature, friendly, well-organized, and detail-oriented person as a Office Administrator/Billing Specialist
You will be the clinic's face and voice to the world. as well as being the billing specialist, focused on working with third-party vendors and accounting tasks. As such an excellent command of spoken and written English is vital. This is an exciting opportunity to work in a well-established counselling practice in South Granville that is rapidly growing, with a group of very friendly people.
We are looking for a reliable and adaptable individual to join our team in a full-time
capacity.
Schedule:
Guaranteed full time hours (35+ per week)
Starting schedule: Monday to Thursday 12:00 pm to 8:00 pm and Sundays from 10:00 am to 5:00 pm.
This schedule can be subject to change with two weeks notice from management.

We are seeking a motivated Office Administrator/ Billing Specialist to assist with various administrative, front desk and billing tasks. This position is located at our satellite office location, which is an independent work space. Being self sufficient is necessary. On the job training will take place for at least 4 weeks.
Key Responsibilities:
Administration:
Greet clients, check them in, notify counsellors and technicians, and address needs in the waiting area.
Provide general clinic information to potential clients and schedule consultations with managers as needed.
Book, reschedule, and follow up on client appointments
Process client payments.
Answer and direct phone calls, manage messages, and respond to internal communications.
Type correspondence, reports, and handle document printing/scanning.
Update client lists and databases, ensuring accuracy.
Help maintain clinic cleanliness, including tidying up, restocking as needed.
Ensure high-quality service and adherence to company standards.
Maintain clear communication with supervisors and team members.
Always follow safety and operational protocols.
Billing:
Prepare and issue invoices based on contracts, services provided
Monitor outstanding balances and follow up on overdue payments
Reconcile billing discrepancies and resolve client inquiries
Maintain accurate financial records and documentation
Collaborate with counsellors, front desk and management
Required Skills & Qualifications:
Strong attention to detail and organizational skills
Proficiency in billing or accounting software (e.g., QuickBooks)
Excellent communication and problem-solving abilities
Familiarity with basic accounting principles
Ability to manage multiple tasks and meet deadlines
High school diploma or equivalent (Bachelor's in Administration or Psychology preferred)
Previous experience in counselling administration preferred, but not required.
Good typing skills and familiarity with Microsoft Outlook, Excel, and Word.
Knowledge of JaneApp is an asset.
An easy and very friendly disposition.
Ability to work independently and as part of a team.
Adaptable to changing work conditions.
