About the Position


We are looking for an experienced and proactive office administrator to manage our office's daily administrative operations. This role requires someone skilled in office management, client communication, and documentation preparation. As a key part of our team, you will ensure operational efficiency and play a pivotal role in supporting various business functions.

This is a full-time position in our office at 1321 Kenaston Blvd., Monday through Friday, 8am to 5pm.

Key Responsibilities



? Manage investor processes and communications with precision and professionalism.

? Organize and maintain client files, ensuring accuracy and regulatory compliance.

? Provide general support to visitors to the office.

? Answer and direct phone calls.

? Support smooth office operations including managing supplies, equipment, and the office environment.

? Oversee electronic and paper filing systems for seamless accessibility.

? Assist with website updates.

Skills We're Looking For



? Strong Microsoft Office skills in: Outlook, Excel, Word, Teams, and SharePoint.

? Exceptional attention to detail.

? Outstanding verbal and written communication skills in English.

? Trustworthiness with sensitive business information.

? Self-starter mindset with minimal supervision needed.

? Strong organizational and prioritization skills to juggle daily tasks effectively.

Education & Experience



? 3-5 years of experience in an administrative position.

? Expertise in preparing client paperwork and documentation.

Bonus Skills



? Knowledge of the Securities Industry.

? Familiarity with CRM tools like Salesforce.

? Experience with Share Registry companies and processes

? Working knowledge of website maintenance.
