Job Overview:
As an Administrative Assistant at Krest Dental Ceramics, you will play a key role in supporting both our clients and our team. You will help ensure every dental office we work with has a smooth, positive experience by answering calls and emails professionally, assisting with inquiries, and preparing cases for timely shipment. This role requires strong attention to detail, the ability to anticipate needs, proactive problem-solving, and teamwork to keep the lab running efficiently.
Job Duties:
Greet and welcome clients and visitors with a positive, helpful attitude
Manage incoming calls and emails, directing clients to appropriate team members
Assist client inquiries with a high level of effective communication and confidence
Manage couriers and drivers; pack and unpack cases with a high level of care
Schedule cases and prepare invoices for billing
Track cases daily to ensure they are completed and shipped on time
Take and track payments from clients accurately and efficiently
Conduct follow-ups with dental offices as needed to confirm instructions, photos, shades, or special requests
Assist with general office tasks, including filing, data entry, and supply management
Support the team with various tasks and projects as needed
Qualifications:
5+ years of administrative experience preferred
Customer service background with a client-first approach
Clear and effective communication skills, both on the phone and in writing
Strong judgment and decision-making skills
Highly organized with the ability to manage multiple tasks simultaneously
Self-motivated and proactive, able to identify what needs to be done and take initiative
Comfortable using office software (email, spreadsheets, scheduling tools)
