Job Title: Office Administrator Location: Edmonton and Various Field Sites as required Department: Pipeline New Construction Reports To: General Manager Date Prepared: May 17, 2023 Job Summary: Inserv NDE is a field services, non-destructive testing company specializing in advanced techniques. We are seeking a highly organized and detail-oriented Office Administrator to join our dynamic team and growing business. This is a hybrid role where the primary responsibility is to perform administrative tasks within our Nisku Alberta office, while being flexible to perform administration in a field environment on a per project basis. The ideal candidate will possess exceptional organizational skills and proficiency in computer systems and software. This position offers an exciting opportunity to be a part of a dynamic team while allowing for room to grow and be involved in many different aspects of the business. This is a full-time hourly position with opportunity for overtime when in the field. Essential Duties and Responsibilities:

  • Onboarding of field staff including organizing and tracking completion of online training and paper forms.
  • Collect and sort staff timesheets, prepare and enter payroll information.
  • Accounts Payable and Accounts Receivable data entry as required.
  • Organizing and preparing reports for management approvals.
  • Uploading and management of data within our company drive.
  • Coordinate incoming and outgoing mail and courier deliveries/pick-ups.
  • Create various spreadsheets and documents as required.
  • Adhere to all organizational policies and procedures, including but not limited to all Health and Safety and Quality Management initiatives.
  • Maintain various directories.
  • Other duties may be assigned as deemed necessary.
Additional responsibilities when working in a field-based environment:
  • Data entry and maintain of our Weld Management sheet.
  • Create professional reports and organize for the technicians to sign.
  • Uploading of data daily to project FTP site.
  • File organization of reports, timesheets, and data files.
  • Preparation of daily safety reports.
  • Maintain office equipment and office supplies.
  • Assist with maintaining inventory of technical equipment and tools, etc.
  • File, photocopy, scan and shred as required.
Knowledge and Skills: Successful applicant will be knowledgeable of general office procedures and office equipment. Intermediate computer skills and working knowledge of MS Word, Excel and email required. Certificate or Diploma in Business Administration would be an asset. Excellent communication, inter-personal and organizational skills, and the ability to work in a confidential, team environment in a self-directed manner is a must. Must have proven multi-tasking, problem solving and prioritizing skills with a commitment to accuracy and attention to detail.
