You will join our Environment & Health department

As our new Office Administrator, you will be part of the growing Canada Environment & Health consulting team. Our Canadian operations consist of approximately 35 employees located between Ontario, British Columbia, and Alberta, with offices in Mississauga and Markham. We anticipate expanding into additional provinces.

This position may allow occasional flexibility to telework. We expect the Office Administrator will be in the office 3-4 days per week.

Your key tasks and responsibilities will be:

  • Maintain office facilities in Mississauga and Markham
  • Procure vendors and supplies for both the Mississauga and Markham office; maintain supplies
  • Maintain filing systems, including document control and retention systems
  • Monitor office expenditures, submit financial reports, and complete bank reconciliations
  • Administer professional, federal, and provincial licenses
  • Track business and employment regulatory changes
  • Run financial reports using the global accounting system (Deltek Maconomy)
  • Partner with North America Human Resources on people matters such as onboarding, offboarding, policy implementation, employment regulations, and timesheets
  • Make travel arrangements
  • Plan, prepare, and record minutes for meetings
  • Other responsibilities as assigned

  • Minimum of 5 years relevant experience required
  • Experience with financial balances and Canadian HR practices would be considered an asset
  • Experience/comfortability working within an IT setting would be considered an asset
  • Significant exposure to consulting, engineering, professional services industries highly desired
  • Digital literacy and comfort in learning new software applications required
  • Expertise in MS Office and PDF editing software
  • Able to manage wide variety of competing priorities and competing deadlines
