JOB SUMMARY:
Responsible for organizing and directing the Agency\xe2\x80\x99s ongoing functions and the daily operations of the Agency and support staff by developing, managing and implementing processes to maintain compliance of services provided by the Agency. Participate in the planning and implementation of objectives that are consistent with the Agency mission, values, philosophy, business, and goals. Provides clerical support including typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities.

QUALIFICATIONS
\xe2\x97\x8f High school graduate; college degree preferred.
\xe2\x97\x8f Minimum of two (2) years\xe2\x80\x99 experience in a business setting, health care preferred.
\xe2\x97\x8f Knowledge of medical terminology preferred.
\xe2\x97\x8f Speak, read, write, and comprehend English.
\xe2\x97\x8f Computer Literate. Microsoft Office.
\xe2\x97\x8f Demonstrated strong verbal, written and interpersonal communication skills, answering phones.
\xe2\x97\x8f Demonstrated ability to type at least 50 words per minute and familiarity with computer programs.
\xe2\x97\x8f Demonstrates strong leadership, organizational and communication skills.
\xe2\x97\x8f Demonstrates ability to manage a team and network.
\xe2\x97\x8f Pass criminal history clearance or have exemption clearance.
ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY
1. Provides clerical support to agency management/owner and supervisory personnel.
a. Prepares correspondence, reports, documents, and medical Plans of Care.
b. Schedules appointments for management staff and schedules meeting rooms.
c. Prepares updates to policies and procedures as directed.
d. Prepares statistical reports as needed.
2. Maintains inventory of office supplies and medical supplies.
a. Establishes agency standards and appropriate reorder points.
b. Monitors supply needs and assures availability of supplies needed.
c. Prepares client charge slips as directed.
3. Billing and Invoicing process.
a. Data entry for new hires, clients and schedules for billing and payroll.
b. Maintains current admission log.
c. Manage agency social media, Facebook, LinkedIn, Job advertising.
d. Enters all new clients into the computer system.
4. Hiring process for direct care staff/caregivers.
a. Provides initial telephone screening for applicants and sets up interviews if appropriate.
b. Requests references on applicants.
c. Orientation and training of new staff.
5. Performs job in compliance with agency policies and procedures as well as community and professional standards.
Accepts responsibility in accordance with the role of the Administrative Office Manager.
b. Assures compliance with applicable laws.
c. Attends meetings and educational programs as required.
d. Participates in the Agency quality improvement activities.
e. Maintains confidentiality in all aspects of the job.
6. Communicates all necessary information to Owner to ensure coordination of services and activities.
a. Attends clinical staff meetings as needed to communicate information needs as they relate to physician orders and other timely written reports.
b. Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination.
c. Filing of documentation in the clinical record. Reports missing or incomplete charting.
d. Participates and communicates with other departments to assure that tasks are accomplished.
e. Keeps abreast and enforces province and federal regulations to ensure that the agency remains compliant with regulatory bodies.
f. Identifies areas of opportunity to retain staff, expand client care revenue and community wide programs.
g. Obtaining community resources and will supervise their use to see that they are used responsibly.
h. Ensures the completeness and accuracy of all information provided to the public regarding the agency and its services by reviewing it on a regular basis (including all marketing materials and activities).
i. Assesses employees on an ongoing basis to ascertain their understanding of agency policies and procedures.
j. Ensures that all individuals providing services for the agency meet the qualifications, orientation, competency, training and education requirements as defined by the rules and regulations.
k. Ensures that client care assignments are based on the caregiver\xe2\x80\x99s abilities, skills and competence.
l. Fiscal planning, budgeting and cost control measures of the agency.
m. Complete any agency required continuing education programs, courses and trainings.
n. Ensures that management/owner complete any necessary annual continuing education and training through attendance at approved seminars/conferences.
o. Documents employee problems in personnel files and participates as requested in employee disciplinary actions.
p. Creates and fosters an atmosphere conducive to the best morale and highest productivity possible and cultivates a team environment by mentoring, appraising, motivating and identifying areas of concern through open communication.
q. Client record review to ensure documents of services provided is accurate and timely.
r. Performs additional duties and responsibilities above and beyond as deemed necessary to meet the needs of the agency, as the owner may require.
