We are seeking a highly organized and proactive Office Administrator to join our dynamic digital marketing agency. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office environment, supporting our team, and maintaining efficient administrative processes. Your main responsibilities will include overseeing hiring activities, managing minor bookkeeping tasks, planning office activities, and implementing best practices to enhance overall efficiency. Responsibilities: Hiring:

  • Collaborate with department managers to identify staffing needs and create job descriptions.
  • Source, screen, and interview potential candidates for various positions within the agency.
  • Conduct reference checks, coordinate background checks, and assist in the selection process.
  • Ensure a positive onboarding experience for new hires, including providing necessary paperwork and orientation.
Bookkeeping:
  • Assist with basic bookkeeping tasks, such as managing invoices, expense reports, and petty cash.
  • Collaborate with the management to maintain accurate records and ensure timely payments.
  • Support the preparation of financial reports and budgets as required.
Office Activities:
  • Plan and organize in-house or off-site activities, including parties, celebrations, and conferences.
  • Foster a positive and engaging office culture by promoting team-building activities and initiatives.
Efficiency and Procedures:
  • Establish and maintain efficient administrative systems, policies, standards, and procedures for the office.
  • Identify areas for improvement and implement strategies to streamline processes and enhance productivity.
  • Ensure office supplies and equipment are well-maintained and manage inventory as needed.
Qualifications:
  • Proven experience as an Office Administrator or similar role, preferably within a digital marketing agency or related industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
  • Proficiency in using office software (e.g., Microsoft Office Suite, project management tools, CRM tools etc.).
  • Basic understanding of bookkeeping principles and experience with financial record-keeping.
  • Exceptional attention to detail and accuracy in administrative tasks.
  • Proactive problem-solving abilities and the capacity to work independently and as part of a team.
