Overview
As part of the school administration team the Office Administrator is responsible for coordinating the school office and providing assistance to the Principal and/or Vice Principal by supporting students, staff, parents and school community.

Responsibilities
Organize and coordinate all aspects of school office functions
Provide administrative assistance to the Principal and/or Vice Principal
Act as staff resource (liaison) to Principal and staff regarding the operation of the office
Maintain student records (i.e. OSRs, central file, registrations) and staff records (i.e. absenteeism, progress reports and evaluations).
Coordinate occasional teacher coverage as directed by the Princpal
Process staff vacation requests, leave requests and casual pay sheets
Maintain school database, prepare Ministry, LDSB and other reports as requested by the Principal
Administer the schools's information and record keeping system in accordance with Ministry and LDSB regulations, policies and procedures
Prepare a variety of documents using word processing, spreadsheets, and other related software
Facilitate internal/external communications including making appointments, meeting and directing visitors and clients
Operate and maintain office equipment such as: photocopiers, fax machines, telephones, bells, and the P.A. system and provide in-service on the equipment
Requisitions office/school supplies; maintain budget, fund raising and purchasing card transactions under the direction of the Principal or designate
Attend staff and administrative team meetings as requested by the Principal
May include additional portfolio and/or responsibilities as determined by system needs
Perform other duties as assigned

Secondary School Diploma
Three years of directly related experience
Skills

Required
Strong organizational skills necessary to maintain productivity under pressure and meet deadlines
Excellent public relation and communication skills
Ability to maintain discretion and confidentiality
High proficiency in all secretarial, accounting and clerical skills
Comprehensive knowledge of computer applications being used in the school office
