We are seeking a highly organized and dependable

Administrative Assistant

to join our team in Hamilton, Ontario. The ideal candidate will be detail-oriented, efficient, and capable of managing multiple tasks in a fast-paced office environment.

Key Responsibilities:



Administrative Support:

Perform a variety of office and clerical tasks, including preparing documents, maintaining records, and ensuring smooth daily operations.

Industry Knowledge:

Some background or understanding of the

real estate or mortgage industry

is preferred.

Microsoft Office Proficiency:

Confident use of

Word, Excel, PowerPoint, and Outlook

is required to create reports, manage communications, and organize data.

Adobe & PDF Management:

Ability to work with

Adobe software and PDF files

, including editing, combining, and converting documents as needed.

Email & Follow-Ups:

Manage and organize company emails, respond promptly to inquiries, and perform consistent follow-ups with clients, partners, and internal team members.

Organization & Filing:

Maintain both physical and digital filing systems, ensuring documents are properly categorized and easily accessible.

Customer Service & Reception:

Greet clients and visitors in a professional manner, answer phone calls, and provide assistance as needed to ensure a positive client experience.

Task Management:

Prioritize and manage workload efficiently to meet deadlines while maintaining attention to detail.

Office Maintenance:

Ensure the office environment is clean, organized, and well-maintained at all times.

Qualifications:



Previous administrative experience required; real estate or mortgage office experience is an asset. Strong communication and interpersonal skills. High level of professionalism and confidentiality. Excellent time management and problem-solving abilities. Ability to work independently as well as part of a team.
