We are currently seeking a dedicated and detail-oriented Occupational Health, Safety & Wellness Assistant to support our Occupational Health, Safety & Wellness department.



Summary of duties but not limited to:



Track and follow up on new employee immunization clearances, ensuring all necessary documentation is completed and the HR tracking sheet is kept up-to-date. Track and maintain staff training and certification records. Assist in compliance audits of these records. Collaborate with the Safety Specialist to coordinate and schedule respirator fit testing, manage supplies, and issue overdue notices. Manage and update Parklane software systems, generating regular reports to support department decision-making. Assist with the ongoing development, review, communication, and tracking of OHSW & IPC policies and safe work practices. Support the workplace violence prevention program by helping with de-escalation training, risk assessments, and e-learning module tracking. Assist with incident reporting and follow-up processes, including data entry, tracking, and documenting preliminary investigations. Manage general office duties, including reception, calendar and inbox management, and maintaining robust filing systems. Handle purchasing and procurement for the department. Administer medical documentation reimbursement processes. Draft professional correspondence, prepare reports, and manage timekeeping records. Act as a key support for the Joint Health and Safety Committee (JHSC), and other committees as needed, by coordinating meetings, preparing documentation, and ensuring compliance with legislative requirements. Prepare and distribute meeting agendas, minutes, and supporting materials. Track and follow up on action items. Support Hand hygiene program. Respond to inquiries from staff and external contacts in a timely and professional manner. Act as a go-to resource for staff on health, safety, and wellness-related inquiries. Assist with the planning and execution of health and wellness initiatives, campaigns, education sessions, and events. Provide basic first aid assessments and treatment. Maintain an inventory of first aid supplies. Support the first aid training program. Assist with staff communication, reporting, and supporting of the annual vaccine campaign.

As a role model and champion, you will work to identify and integrate safe, best practices into daily activities to foster the delivery of safe and exemplary care.

Qualifications

Successful completion of a relevant Undergraduate Degree (Occupational Health and Safety, Health Studies, Business Administration) from an accredited institution is required. Comprehensive knowledge of legislation such as the Occupational Health and Safety Act, Workplace Health and Safety Insurance Act and Human Rights Code of Ontario. Experience with Parklane considered an asset. Strong organizational skills, detail oriented, able to work with a high level of accuracy. Able to work independently in a fast paced and challenging environment. Strong analytical and problem solving skills. Demonstrated ability to interact with staff at all levels of the organization. Superior written and verbal communication skills. Strong computer skills and demonstrated proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). First Aid/CPR and AED certification an asset. Proven attendance and punctuality. Professional behavior and communication that meets the standards of the professional regulatory college or association, as applicable, and the standards of Women's College Hospital. This position plays a critical role in acting as an advocate for safety and will demonstrate principles, practices and processes that will optimize a safe environment for all.
