Job Description

:
We are looking for a dedicated and detail-oriented Front Desk Coordinator to join our team on a long-term contract basis in Toronto, Ontario. This hybrid role requires a minimum of three days per week in the office, with new team members expected to spend additional time on-site. Reporting to the Manager, this position plays a crucial role in supporting Portfolio Managers and Introducing Brokers by ensuring exceptional service delivery and fostering strong client relationships.
Responsibilities:

  • Develop and nurture strong client relationships by coordinating efforts across internal departments and divisions.
  • Maintain high standards of customer service by keeping clients informed about new products, services, and developments relevant to their business needs.
  • Promptly resolve client issues while identifying opportunities to enhance policies and procedures for improved service delivery.
  • Review and approve daily administrative tasks, including bank transfers, foreign exchanges, de-registrations, and internal account transfers.
  • Act as a liaison between clients and operational teams to ensure tasks are completed efficiently and proactively.
  • Organize and document regular client meetings, addressing service and operational concerns while following up to ensure resolution.
  • Provide clients with training and guidance on company policies and procedures that impact their business operations.
  • Offer recommendations for process improvements to strengthen client relationships and enhance overall service quality.
  • Represent the company professionally at client meetings and business functions.
Requirements:
  • Hold a university degree and possess at least two years of experience in a brokerage or service-oriented role.
  • Completion of the Canadian Securities Course and Conduct and Practices Handbook is an asset.
  • Demonstrate knowledge of industry regulations, procedures, and systems used within brokerage and support areas.
  • Proficient in Microsoft Office and skilled in written and verbal communication.
  • Ability to work independently while contributing effectively to a team environment.
  • Strong interpersonal skills with a proactive approach to managing high-volume tasks.
  • Familiarity with training, process improvement, and maintaining client-focused procedures.
  • Highly motivated with a positive attitude and a commitment to delivering exceptional service.
