Position Overview
We are seeking an experienced, detail-oriented Mortgage Administrator to join our client's team. This role is responsible for managing administrative processes related to mortgage files, payouts, renewals, and client communications, as well as providing occasional reception coverage. The ideal candidate will be organized, trustworthy, and committed to long-term career growth within the company.
Key Responsibilities
Daily/Weekly

  • Create and process new files, including reviewing/printing lawyer's packages, entering data into the system, and distributing PADs
  • Post entries accurately and efficiently
  • Prepare broker fee payments, including cheque/EFT processing, and organize for mail or pickup
  • Prepare and send payout requests; process payouts upon receipt
  • Handle draw requests, prepare letters, and coordinate pickup or email transfers
  • Manage paydowns, including AML form collection, processing, and sending updated payment letters
  • General filing and document management
  • Review and process Form C Discharges
  • Provide reception backup: answering phones and greeting clients
  • Cover reception duties during absences, including mail handling, supply orders, kitchen upkeep, and courier arrangements
Monthly
  • Order appraisals before the 4-year mark, update files and systems, and ensure payment
  • Prepare and send renewal documentation, track returns
  • Compile monthly/expiry summary reports
Quarterly
  • Assist with dividend mailers
Annually
  • Support company events
  • Assist with audit file preparation

Requirements:
Qualifications
  • Minimum of 5 years' experience in a similar role preferred
  • High school diploma required; additional education an asset
  • Strong work ethic and high level of integrity
  • Excellent verbal and written communication skills
  • Highly organized with the ability to work independently and under pressure
  • Proficiency in Microsoft Office Suite
  • Experience with Sage 50 or similar accounting software is an asset
  • Previous mortgage or finance industry experience preferred
  • Ability to handle confidential information with discretion
  • Must be comfortable with stairs (office is on the second floor with no elevator)
