A. Mortgage Development - Analysis - Pipeline - Coordination.
Manage incoming phone calls and emails related to mortgage inquiries and oversee the daily operations of mortgage-related matters.
Schedule and confirm appointments, meetings, and inspections; prepare agendas and document deliverables or outcomes from each meeting.
Serve as the primary point of contact for public clients, maintaining up-to date product knowledge to facilitate effective communication.
Maintain ongoing customer contact and conduct regular follow-up communications to ensure client satisfaction and engagement.
Prepare, maintain, input, edit, and proofread correspondence, invoices, presentations, reports, and related materials using relevant computer systems.
Assist in defining project scope and objectives, engaging all appropriate stakeholders and ensuring technical feasibility.
Track and analyze property performance, expenditures, and procurement activities, and report on any potential or existing blockers, risks, budget overflows, or deficits.
Open and distribute incoming regular and electronic mail and other materials; coordinate the flow of information both internally and with other departments, clients, professionals, suppliers, and organizational members.
Greet visitors, ascertain the nature of their business, and direct them to the appropriate person as required.
Manage and send all required disclosures and written communications; oversee correspondence with all project stakeholders.
Coordinate with referring real estate agents to monitor and ensure completion of key transactional deadlines, including but not limited to removal of inspection, loan, appraisal, and repair contingencies as negotiated.
Monitor and keep accurate records of relevant accounts receivable.
Maintain and update the organization's customized in-house databases as required.
Perform any additional duties and responsibilities that may be assigned from time to time to support division operations.
B. Collection - Analysis - Pipeline
Know Your Product (KYP): Maintain thorough knowledge of all products and services offered, including their features, benefits, and scope of application.
Know Your Trade (KYT): Adhere to established protocols, policies, and procedures to ensure all activities align with company standards and regulatory requirements.
Collect present and future requirements from all stakeholders, ensuring a comprehensive understanding and documentation of their needs.
Research and evaluate alternative solutions to address stakeholder requirements and support decision-making.
Translate stakeholder requirements and solutions into actionable project pipelines and clear deliverables.
Collaborate with resource management teams on resource planning, ensuring availability and effective allocation in line with the project pipeline and deliverables.
Convert project pipelines and deliverables into specific tasks; schedule and assign tasks to appropriate team members to ensure timely completion and accountability.
C. Schedule - Coordination - Tracking - Execution
Prepare the timeline - coordinate with team - keep project going according to schedule
Communication with all stakeholders for changes to the project scope, project schedule, and costs.
Track and analyze project performance, cost, schedule and report to the management on the changes in project scope, project schedule, and project costs, being able to suggest the improvements to all the above.
Create and maintain comprehensive project documentation
D. Compliance & Documentation Management
Create, manage, and ensure the accuracy, compliance, and traceability of project documents.
Coordinate the flow of information internally and externally among departments, clients, professionals, and suppliers.
Manage customized in-house databases and keep track of relevant accounts receivable.
Maintain project files in compliance with Falco Group and regulatory policies.
E. Transactional Support
Communicate and coordinate with referring real estate agents and track transaction deadlines, including contingencies related to inspection, loan, appraisal, and repairs.
Handle all disclosures and written correspondence to project stakeholders.
Fulfill additional duties and responsibilities as assigned to meet division needs.
QUALIFICATION - CANDIDATE SHOULD POSSESS THE FOLLOWING:
Bachelor's degree preferred, or equivalent work experience.
Prior experience in real estate, construction, or property development is an asset.
Excellent verbal and written communication skills.
Fluency in Office 365 and computer literacy required.
Strong organizational skills with the ability to prioritize and multitask.
High level of professionalism and attention to detail.
WORKING CONDITIONS
Office hours: Monday to Friday, 9:00 AM - 5:30 PM.
Light to infrequent moderate physical activity (e.g., handling office supplies/equipment).
Primarily a seated role with significant computer and telephone use.
