We are a well-established and rapidly growing private mortgage lender with a current mortgage portfolio exceeding $300 million. Our business model focuses on sourcing capital from investors and deploying those funds into mortgages secured by real property.
You will be joining a collaborative, 14-person professional office led by an executive team with over 80 years of combined industry experience spanning property development, public accounting, and mortgage financing.
The Opportunity
We are seeking an experienced and detail-oriented Mortgage Administration Manager to lead and oversee the core administrative functions of our mortgage operations. This is a key leadership role that sits at the intersection of operations, compliance, and people management, with direct exposure to senior leadership and external stakeholders.
The successful candidate will play a critical role in ensuring mortgage files are accurate, compliant, and efficiently managed throughout their lifecycle, while also building and mentoring a high-performing administrative team.
Key Responsibilities
Mortgage Administration Oversight
Provide leadership and oversight across three critical administrative functions within the mortgage department:
Funding and advances
Mortgage renewals
Arrears and foreclosures
File Review and Quality Control
Review mortgage documentation for accuracy, completeness, and compliance prior to external release
Develop, implement, and maintain policies, procedures, and quality control systems related to mortgage files
Reporting and Executive Support
Prepare and deliver periodic status reports to the Executive Team related to mortgage administration, renewals, and arrears
Identify trends, risks, and process improvement opportunities
Team Leadership and Development
Hire, train, mentor, and develop administrative staff
Provide day-to-day guidance, performance management, and professional development support
External Stakeholder Management
Act as the primary point of contact for external lawyers and mortgage brokers on foreclosure-related matters
Ensure timely and professional communication with all external partners
Operational Support
Demonstrate flexibility by supporting other functions within the mortgage team as required in a fast-paced, growing environment
Skills, Qualifications and Experience
Required
Minimum 3 years of management experience, including both task and people management
Undergraduate degree or senior-level Paralegal designation
Strong verbal and written communication skills
Highly organized with strong attention to detail and the ability to manage multiple priorities
Preferred
Experience in financial services, mortgage lending, or a regulated environment (considered an asset, but not required)
