Position Summary
Reporting to the Manager, Centralized Patient Scheduling & Registration (CPSR) the MH Scheduling Representative works in a centralized model providing Scheduling and related services to areas regardless if they are centralized or geographically located throughout the hospital. Further, this position is responsible for providing billing support to the Mental Health Services Program and has a reporting relationship to the Manager of Mental Health for job duties that are outside of Scheduling and Registration functions.

PRIMARY RESPONSIBILITIES:
  • Provides excellent customer service to all patients and system stakeholders as a primary contact upon entry to the hospital.
  • Works as a scheduling staff member and schedules patients according to the Hospital and the Electronic Medical Record (EMR) partnership policies
  • Communicates and interacts with physician offices, patients and other health care providers.
  • Ensures the accurate and timely scheduling and rescheduling of any incoming booking requests, paying close attention to priority and urgency of booking requests
  • Follows appropriate processes for scheduling booking requests according to the requirements of the various clinics/program areas.
  • Accurately collects and records patient demographic and health care coverage data from patients/designates
  • Accurately schedules requested appointment type with appropriate orders in a timely manner
  • Coordinating, in-taking, scheduling, and billing of psychiatric consultations and outpatient team consultations.
  • Compiling statistical summaries as required by staff, hospital, county and Ministry of Health and Long-Term Care and compile CIHI data reports.
  • Providing direct assistance to staff in the maintenance of statistical data related to their clinical work.
  • Entering statistical data from client intake forms and files.
  • Explains the procedure preparations where applicable.
  • Collects all the required information to accurately register a patient.
  • Enters all data into the computerized system ensuring that any health care coverage (ie. Health card number) and relevant information is accurate.
  • Ensures excellent data quality by following all procedures and standards associated with quality data.
  • Participates in any data quality activity to support facility and EMR partnership goals.
  • Addresses data quality concerns in a timely manner.
  • Adheres to data quality processes as directed, inclusive of validating health cards
  • Provides coverage to other areas of CPSR as required

Performs other duties as may be assigned by the direct manager and/or Team Lead.
Qualifications
Education:
  • Ontario Secondary School Graduation Diploma or equivalent is required
  • Successful completion of a Medical Terminology course required
  • Successful completion of the Hospitals Electronic Medical Record (EMR) training required upon hire
  • Completion of Medical Office Administration program is an asset
  • Completion of a recognized post-secondary diploma/degree is an asset

Experience:
  • Three (3) years scheduling experience required
  • Preference given to candidates with previous healthcare experience
  • Preference given to candidates with experience in registering and scheduling in an EMR
  • Related experience in a mental health environment would be an asset.
  • Previous experience in CPSR Scheduling or Registration Representative role is a prerequisite for this position

Competencies:
  • Demonstrated computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required,
  • Demonstrated excellent communication skills in English (both verbal and written) and interpersonal skills to positively interact with a range of individuals in a variety of situations, which require tact, discretion and confidentiality,
  • Demonstrated ability to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges,
  • Demonstrated ability to organize and prioritize workload and multitask under pressure,
  • Demonstrated attention to detail and a strong commitment to quality and patient information verification,
