POSITION SUMMARY





Under the direction of the Membership Services Manager, the Membership Services Coordinator is responsible to provide programs and service to the Membership. The Membership Services Coordinator will be a highly organized individual with the ability to manage many tasks and deadlines and must enjoy working in a fast-paced environment that is result focused and community oriented.


EDUCATION/EXPERIENCE




Diploma/Certificate from a recognized Administrative Professional Program A minimum of 3 years' experience as an administrative setting Indian Registration Administrator certification preferred (or willing to take) Experience in financial management (budget, invoices, vouchers etc.) Equivalent combination of education, training and experience may be considered

Criminal Record Check with results acceptable to WFN Valid Class 5 Driver's License, Acceptable Driver's Abstract and access to a reliable vehicle Requires a high level of discretion and confidentiality, sound judgement, diplomacy, superior organizational skills An in depth understanding of the WFN Community

JOB DUTIES/RESPONSIBILTIES




Provides a high level of administrative support to the Membership Services Manager by; providing information regarding incoming inquiries for partnerships, funding, events, and other requests, along with keeping the manager up to date on meeting schedules, potential conflicts, and report deadlines. Schedules meetings, travel arrangements, appointments, prepares itineraries and makes reservations as necessary for the Membership Services Manager Drafting and preparation of confidential and non-confidential materials such as forms, letters, correspondence, reports, spreadsheets, posters, power point presentations, templates... Transcribes, prepares, and distributes various meeting agendas and minutes for Membership Services, and schedules meetings for various committees and events etc. Provides support in purchasing, reconciling, and accounts payable submissions based on standardized guidelines Ensures efficient record management, preserves original legal documents; and regularly collaborates with the Records Management department to preserve vital documents Assists in updating of policies relating to Membership Services programs and services Assists in maintaining and keeping current on CINUP, FNHA, (First Nation Health Authority) and Membership Services programs and mandates Assists the Member Services Registry specialist Assists Members/Membership Services Manager with administration and applications of WFN programs and services Liaison with other WFN departments as needed Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards and procedures Performs other duties and responsibilities as necessary in the performance of the position and as assigned by the Membership Services Manager

KNOWLEDGE/SKILLS/ABILITIES




Advanced computer skills are required including a strong working knowledge of Microsoft Office applications and related software (Word, Excel, Outlook, Publisher, and Adobe) Highly organized with the ability to manage many tasks and deadlines required Maintains a high level of professionalism Communicates in a professional, respectful, clear, and timely fashion (both written and verbal) Able to maintain confidentiality in all situations and handle confidential materials/documents Builds trust by being honest, reliable, and consistent Strong interpersonal skills Ability to work well independently and in a team environment Ability to establish effective working relationships and use good judgment, initiative and resourcefulness when dealing with other employees, membership, the public and businesses Ability to understand instructions, and follows directions Ability to work effectively under stress, changes in work priorities, and in emergencies Knowledge of WFN Community Services Programs and Membership Services policies and service deliveries
