$46,700 to $58,400 per year


Location:

Richmond or Toronto Office or Remote; Onsite during the week of the conference.

JOB SUMMARY





The Membership & Events Coordinator, Accessibility Certification is responsible for working closely with the Sr. Manager, Training, Membership & Special Projects to ensure the successful execution of the annual Accessibility Professional Network (APN) conference as well as support the work of the Accessibility Professional Network

WORKING RELATIONSHIPS





The Membership & Events Coordinator reports to the Sr. Manager, Training, Membership & Special Projects, Accessibility Certification.



This position works closely with the Accessibility Certification, Marketing & Communications, Resource & Development teams, and collaborates with other RHF staff. Membership & Events Coordinator, Accessibility Certification regularly liaises with external parties and serves as the main point of contact for the APN annual conference.

KEY ACCOUNTABILITIES




Ensures the successful achievement of every milestone outlined in the project plan; Supports the technical team with speaker management leading up to the conference and onsite during conference; Collaborates across RHF teams to gather necessary materials for the comprehensive delivery of the conference program and all associated materials; Supports sponsorship activities in partnership with the Resource Development team; Works with the Training & Membership Coordinator to facilitate delegate communication and streamline the registration process; Coordinates closely with all RHF teams to ensure prompt and effective development and execution of ongoing conference communications; Oversees the registration process, manages attendee inquiries, handle ticketing, and ensure a smooth check-in experience; Coordinates on-site logistics, deliveries, manages venue, accessibility, staff and volunteers, handles unexpected issues or changes, and ensures the event runs smoothly. Works with vendors and accessibility experts to ensure an accessible conference for all delegates (venue, communications, captioning, ASL technology etc.); Coordinates technical requirements, AV equipment, and ensures smooth operation of presentations and technology throughout the event; Collects feedback from attendees, sponsors, and partners, analyzes the success of the event against objectives, and prepares reports for future improvements; Provides membership support to RHFAC Professionals and APN members by handling all questions, information requests, and complaints regarding RHFAC Professional designation and APN membership in a timely and accurate manner; Assists with RHFAC Professional/member communication (I.e., membership status, renewals, CEU status, RHFAC Professional standing, or other relevant RHFAC program updates; Contributes to the development and implementation of strategies to recruit new APN members and retain current members and RHFAC Professionals; Ensures accurate dashboard maintenance in Salesforce and generates necessary reports; Organizes and facilitates virtual events, such as webinars; Supports the RHFAC team, as required; and Performs other related duties in keeping with the purpose and accountabilities of the job.



QUALIFICATIONS




An equivalent combination of education, experience and skills/behaviours will be considered.



Education:




University degree, Diploma or Certificate from a recognized post-secondary institution in business, communications or marketing or an equivalent combination of education and experience.

Certification/Designations:




None



Experience/Knowledge:




Minimum 3 years of related experience in event management. Experience in building and maintaining effective relationships with internal and external partners, professionals, and vendors. Strong experience with providing timely and quality internal and external customer service. Computer experience required: + High proficiency using Microsoft 365, including Word, Excel, PowerPoint, Outlook, Teams and other MS Apps.
+ Experience with Salesforce, Fonteva or other customer relationship management and membership software preferred.
+ Experience delivering events on InEvent, Zoom Webinar, and other virtual event platforms preferred.
Knowledge of or experience working with individuals with disabilities an asset. Fluency in French, oral and written, is an asset.

Collaborative team player who works effectively with cross-functional teams and independently to achieve goals.
