Position Overview
WAKO Canada is seeking a
highly organized, motivated, and detail-oriented Membership and Projects Coordinator
to join our administrative team.
This administrative position plays a key role in supporting the management of national and provincial programs. The successful candidate will oversee membership administration, event coordination, and communication with stakeholders across Canada. Qualifications
Undergraduate degree (or equivalent experience) in
Business, Accounting, Sport Management, Recreation, or Leadership
.
Minimum of
five (5) years of relevant experience
in administration, project management, or volunteer coordination.
Proven ability to work collaboratively with volunteers, clubs, and provincial/national sport organizations.
Flexibility to work variable hours, including evenings and occasional weekends, based on project schedules.
Exceptional organizational skills and the ability to manage multiple priorities while meeting firm deadlines.
Strong technical proficiency and ability to quickly learn new systems and software.
Proficiency in
Microsoft Office (Word, Excel)

Google Workspace
, and database management.
Comfortable working in a
Mac environment
.
Excellent written and verbal communication skills, with professionalism when interacting with clients, members, and partners.
Demonstrated experience providing high-quality customer service and resolving inquiries efficiently.
Key Responsibilities
Maintain and manage the organization's
membership database
with accuracy and confidentiality.
Coordinate and oversee national and provincial events and projects, ensuring operational excellence.
Communicate effectively with members, clubs, and stakeholders regarding programs, policies, and event information.
Ensure all administrative and logistical requirements for events are completed on schedule.
Respond to inquiries via email and phone promptly and professionally.Provide regular updates to the CEO on programs, events, and membership trends.
Provide regular updates and reports to the CEO regarding programs, events, and membership trends.
Process and track membership, event, and program fees; maintain accurate
financial and administrative records
.
Update and maintain the organization's
website and digital platforms
.
Support national and provincial
volunteer teams
with project and event logistics.
Provide
onsite assistance
at events and member club activities as needed.

Compensation
Remuneration will be commensurate with experience and qualifications.
