Job Description

Sinai Health is looking for an experienced Medical Secretary to support our Family Medicine Department - Family Health Team at our Toronto Site.


The Medical Secretary is part of a team which enables the organization to meets its goals in the provision of high-quality, patient centred care. The Secretary provides primary clerical support to Clinicians as well as interprofessional health providers (e.g. dietitians, diabetes nurse educator, nurses, nurse practitioners, social worker, pharmacist and psychologist) on the team through the coordination of team member schedules and administrative activities that further the achievement of the clinical, research and academic mission.




In this role you will:




Book appointments and register new patients into the ambulatory record management system Greet patients upon arrival, register, confirm all relevant details (i.e. health card number, address, etc.) and prepare their chart for consultation Answer telephone calls, refer urgent calls to the appropriate team member Screen, prioritize and process referrals and patient requests for appointments with members of the Interprofessional team Manage patient flow to optimize efficiency of the Interprofessional team members' time Receive telephone calls from patients when the Interprofessional team members are unavailable Provide information over the phone to patients as appropriate and take message to pass on to the Interprofessional team members Books appointment for follow-up as per protocol or as directed by the Interprofessional team members Input client information and service plan information to the client health record as requested Assist in the planning and implementation of group and public sessions, booking rooms, creating flyers, invitations, ordering food. Co-ordinate the individual team's non-clinical calendar including arranging meetings, conferences, and other appointments as required. Interact with other hospital departments, laboratories and external medical institutions on behalf of patients and team members (i.e. book referral appointments, order repeat prescriptions, etc.) Prepare day lists and patient encounter forms for the next day's clinic Provide general clinical administration support using Microsoft Word applications etc. Perform other duties consistent with the job classification as required Job Requirements

Job Requirements:




Mandatory


Successful completion of a Medical Secretary or Business Administration Diploma from a recognized program or equivalent combination of education and experience 2 years of experience in secretarial/administrative role Applicants with proven equivalent and related training and experience may also be considered




Preferred


Previous experience with an electronic medical record (EMR) program Experience working in a clinical/health/customer service environment Previous experience in an ambulatory health care setting




Skills and Knowledge


High level of proficiency in using computerized patient booking systems Working knowledge of medical terminology Demonstrated achievement of good working relationships with colleagues, professional staff Ability to make administrative decisions within professional domain Proficiency in MS office applications, e-mail and ability to work with computerized databases Effective verbal and written communication skills, interpersonal and customer services skills Excellent organization and time management skills Excellent decision making, problem recognition, problem solving skills, negotiation and conflict resolution skills Demonstrated commitment to professional growth and development Demonstrated experience of working as part of a team Demonstrated satisfactory work performance and attendance record
