The Role
We are seeking a friendly, detail-oriented, and reliable
Medical Receptionist / Patient Care Coordinator
to join our clinic. As the first point of contact for patients, this role requires professionalism, empathy, and strong communication skills. Because we are a developing clinic, we are looking for someone who is flexible, adaptable, and a true team player--comfortable supporting providers and administrative workflows to create an efficient, patient-centered environment. This is on-site, full-time from Monday to Friday, 9-5.
Key Responsibilities
Greet patients, clients, and visitors with warmth and professionalism.
Manage phone calls, emails, scheduling, and appointment bookings.
Verify insurance/EAP details and assist with onboarding, intake forms, and portal registration.
Maintain confidentiality as per HIPAA and PHIPA requirements.
Coordinate scheduling for patients and providers.
Maintain accurate and confidential patient records
Support administrative tasks such as filing, billing, documentation, and payments.
Assist with general clinic operations (supply ordering, correspondence, etc.).
Manage incoming and outgoing patient referrals.
Qualifications
Minimum 2 years of experience as a receptionist or administrator
in a medical office, clinic, or healthcare administrative setting.
Medical Office Administration Certificate/Diploma (or equivalent) is an asset.
Strong comfort with technology, including scheduling and EMR systems.
Experience with
TELUS Health CHR
(or similar EMR) is an asset.
Excellent verbal and written communication skills; strong interpersonal skills.
Highly organized, detail-focused, and proactive in problem-solving.
Flexible and adaptable as clinic needs evolve.
Collaborative, professional, and patient-focused.
Able to maintain confidentiality and uphold professional boundaries.
