Position Summary:
We are seeking a warm, detail-oriented, and tech-savvy Medical Office Assistant (MOA) to join our multidisciplinary team. This is a hybrid role that balances front-desk reception, administrative operations, and electronic medical records (EMR) management. You'll also assist with marketing-generated inquiries and ensure that both new and returning clients receive exceptional care throughout their journey at Parsa.
Key Responsibilities:
Greet and check in clients with professionalism and care
Coordinate bookings, follow-ups, and reminders using TELUS CHR
Answer phone calls, emails, and respond to social media and web inquiries generated by the marketing team
Manage ticklers, tasks, incoming faxes, and specialist referrals in the EMR
Process lab results, requisitions, and documentation in collaboration with the clinical team
Prepare and maintain accurate patient records and consent forms
Support front-desk operations including transactions, invoicing, and MSP/private billing reconciliation
Track promotional leads and assist with appointment scheduling for marketing campaigns
Assist with inventory, product sales, and treatment room preparation
Ensure smooth daily workflow, confidentiality, and adherence to clinic protocols
Qualifications:
Completion of a Medical Office Assistant diploma or equivalent certification
Previous experience in a medical or wellness clinic (family practice experience is an asset)
Proficiency with TELUS CHR or similar EMR platforms (tickler/task management, fax inbox, billing, etc.)
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills, both verbal and written
Ability to multitask in a busy environment and handle sensitive information with professionalism
Interest in wellness, skincare, and the aesthetics field
Fluency in English; additional languages are an asset
