Position Overview

We are seeking an experienced and self-motivated Medical Office Assistant/Front Desk Receptionist who thrives in a collaborative team environment. The ideal candidate will demonstrate strong initiative, excellent organizational skills, and a passion for delivering exceptional patient experiences in our growing medical aesthetics practice.

Key Responsibilities

Manage front desk operations including patient check-in/check-out and appointment scheduling Take initiative in identifying patient needs and ensuring seamless clinic flow Answer phone calls, emails, and inquiries with professionalism and warmth Process patient payments and maintain accurate billing records Proactively maintain patient files and ensure compliance with privacy protocols Coordinate patient consultations and follow-up appointments Collaborate effectively with medical team members to optimize patient experience Support retail product sales and inventory management Maintain reception area organization and professional appearance Contribute to team meetings and process improvement discussions Handle patient concerns with empathy and problem-solving skills
Required Qualifications

High school diploma or equivalent; post-secondary education in healthcare administration an asset 2+ years experience in medical office or healthcare reception setting preferred Demonstrated ability to work independently while contributing to team success Strong knowledge of medical office procedures and patient confidentiality requirements Experience with practice management software (Jane App experience is an asset) Excellent communication and interpersonal skills Self-starter with strong problem-solving abilities

Experience in medical aesthetics or dermatology practice Background with medical billing and insurance processing Leadership experience or interest in taking on additional responsibilities Track record of contributing to team success and clinic growth Bilingual capabilities an asset Familiarity with retail sales in a medical setting
