Medical Office Administrator

to join our team and be the first point of contact for our patients.

Position Summary



The Medical Office Administrator plays a key role in supporting both the administrative and patient service functions of the clinic. This includes greeting patients, managing bookings, processing billing, ensuring accurate data entry, and facilitating communication between patients, technologists, radiologists, and other healthcare professionals.

Key ResponsibilitiesPatient & Administrative Support



Greet patients and collect billing information. Input and verify patient information in the Velox system, including health card validation. Process "pay direct" billing transactions and provide receipts. Retrieve previous reports and prepare requisitions for technologists. Assist with filing, organizing, and purging records. Schedule patient appointments according to guidelines and provide preparation instructions. Follow up on missing information (e.g., physician details, contact numbers). Answer and redirect incoming calls; record and relay verbal orders. Provide verbal and faxed reports when required. Follow up on OHIP claim rejections.

Customer Service & Communication



Provide courteous and professional service to patients, clients, and healthcare partners. Respond promptly to inquiries and requests, ensuring issues are resolved effectively. Maintain a professional appearance and positive demeanor. Communicate clearly and professionally with patients, radiologists, management, and support staff. Attend team meetings and implement procedural updates as needed.

Quality Assurance & Safety



Adhere to all IHF policies, safety regulations, and infection control protocols. Keep work areas clean, safe, and organized. Monitor and rotate stock; report low supplies. Maintain up-to-date certifications (e.g., WHMIS, First Aid). Participate in ongoing training and continuing education. Report and document incidents or occurrences as required.

Qualifications



Diploma or certificate in Office Administration - Health Services (or equivalent experience). Knowledge of medical terminology. Proficient computer skills, including medical office software. Strong organizational and multitasking abilities. Excellent communication and problem-solving skills. Ability to work independently and in a team environment. Professional, friendly, and patient-focused attitude.

Working Conditions



Fast-paced clinical environment with frequent patient interaction. Combination of in-person patient service and computer-based administrative work. Some standing and light lifting may be required.
Job Type: Full-time

Pay: $17.20-$20.00 per hour

Expected hours: 30 - 40 per week
