Westwood Medical Clinic is a patient-centered family practice clinic located in the heart of Richmond, BC. As we grow, we are looking for a motivated and reliable Medical Office Assistant (MOA) to join our team.
Position Summary
As an MOA, you will play a vital role in the day-to-day operations of our clinic. You will support both administrative, operational, and clinical functions, ensuring smooth patient flow, accurate record-keeping, and outstanding patient care. We are looking for a compassionate, detail-oriented individual who thrives in a fast-paced environment and enjoys working as part of a team.
Schedule
Coverage required Monday-Saturday, between
8:30 AM - 6:00 PM
, coordinated with other staff. Flexibility in scheduling is available for full-time, part-time, or casual positions.
Key Responsibilities
Administrative Duties
Greet and check in patients in a professional, friendly manner
Maintain patient confidentiality at all times
Manage phone calls, email correspondence, and appointment bookings
Maintain accurate and up-to-date electronic medical records (EMR)
Coordinate specialist referrals, recalls, and follow-ups
Handle billing for multiple payers (MSP, ICBC, WCB, private insurance)
Apply and collect payments for non-insured services
Maintain office supplies and clinical inventory
Clinical Support
Prepare exam rooms and patients for a variety of appointments and procedures (e.g., PAP, IUD, minor procedures, well-child exams)
Record patient vitals and perform basic clinical testing (e.g., blood pressure, urine dipstick, height/weight including infants)
Assist with patient flow: escort patients to exam rooms, prep for visits, and ensure rooms are cleaned and reset
Document clinical findings and assist with patient documentation as needed
Qualifications
Medical Office Assistant Certificate (Canadian accreditation preferred)
Recent experience working in a medical clinic or healthcare setting
Proficiency in EMR systems (experience with AVA EMR is an asset)
Strong skills in MS Office and electronic communication platforms
Fluent in English (spoken and written); proficiency in Mandarin or Cantonese is a strong asset
Exceptional interpersonal and communication skills
High attention to detail, organization, time management
Ability to multitask and remain calm under pressure
Reliable transportation and ability to commute to Richmond, BC
