Sage Meadows Physiotherapy & Massage is seeking a friendly, dependable, and detail-oriented

Medical Office Assistant / Receptionist

to join our welcoming and fast-paced clinic in Sage Hill. You will be the first point of contact for patients and a key support for our clinical and administrative team.

We are looking for someone with a positive attitude, strong communication skills, and the ability to multitask efficiently in a professional healthcare environment.

Key Responsibilities

Greet patients and visitors with professionalism and warmth Answer phone calls, emails, and manage daily inquiries and appointments Assist patients with intake forms, consent documentation, and insurance details Schedule, confirm, and update appointments using Jane App software Collect payments, manage billing, invoicing, and insurance documentation Prepare, submit, and track insurance and motor vehicle accident (MVA) claims Communicate professionally with insurance adjusters to obtain approvals, file reports on time, and keep documentation organized Maintain accurate records of approvals and ensure therapists are informed of claim status updates Keep the clinic clean, organized, and presentable throughout the day Assist therapists in maintaining efficient workflow and patient coordination Order and manage clinic supplies and handle minor maintenance coordination Support the Clinic Director and Administrative Team in day-to-day operations Participate actively as part of a collaborative and patient-focused team
Qualifications & Skills

Prior experience working in a physiotherapy, chiropractic, or healthcare clinic is a strong asset Knowledge of insurance claim submission, direct billing, and adjuster communication is highly preferred Ability to read and interpret insurance approvals and communicate updates clearly to therapists Proficiency with Jane App or similar EMR systems Excellent spoken and written English; additional languages such as Punjabi, Hindi, Cantonese, or Mandarin are an asset Strong organizational, administrative, and time management skills Competent with Microsoft Office and general computer applications Reliable, adaptable, and capable of handling multiple priorities independently Flexible to work evenings and weekends according to clinic hours Own transportation preferred Must be legally eligible to work in Canada
