Overview


We are seeking a dedicated and organized Medical Office Assistant to join our healthcare team. This role is essential in ensuring the smooth operation of our medical office, providing administrative support, and delivering excellent patient care. The ideal candidate will have experience in a medical office setting, with proficiency in electronic medical records and familiarity with multi-line phone systems.

Duties



Greet patients and visitors warmly, ensuring a positive first impression of the office exhibiting friendliness and showing respect to clients. Manage front desk operations, including answering phones, scheduling appointments and triage, and maintaining patient records. Utilize electronic medical records systems such as Healthquest to input and retrieve patient information efficiently. Communicate effectively with patients regarding their appointments, insurance information, and any necessary paperwork. Handle administrative tasks including filing, data entry, and maintaining office supplies, and setting up materials needed in a procedure. Collaborate with healthcare providers to ensure seamless patient care and optimise office workflow efficiency. Maintain confidentiality of patient information in compliance with HIPAA regulations.

Qualifications



Previous experience in a medical office is preferred, with at least 2 years of experience. Familiarity with medical terminology is essential for effective communication within the healthcare setting. Good phone etiquette. Proficiency in using electronic medical records systems such as Healthquest is highly desirable. Strong administrative skills with experience in front desk operations and multi-line phone systems. Excellent organizational skills and attention to detail to manage multiple tasks effectively and the ability to prioritize tasks. Able to handle workload under pressure. Ability to work collaboratively within a team while also being self-motivated and knows how to seek solutions to every problem. Courteous and polite to staff and clients. Follows procedures correctly and meets deadlines consistently. Strong communication skills to interact professionally with patients and staff members. Responds promptly to messages or tasks.
