PURPOSE:

Reporting to the Clinic Manager, the Medical Office Assistant (MOA) provides reception, administrative support, and medical assistant services to assigned programs within the Ts'ewulhtun Health Centre. This is a full-time permanent position working primarily in the office with minimal local travel required. Evening hours may be required depending on program needs.

Cowichan Tribes offers an excellent benefit and pension plan available after successful completion of the probationary period. The position includes paid training, paid vacation and paid sick leave. Depending on experience, the position starts at $29.74-$31.54 per hour ($54,127.31- $57,394.72 annually).

RESPONSIBILITIES:



Administrative Support:



Greet patients/visitors to the clinic

Demonstrate a professional & positive demeanor when responding to inquiries in person, by phone or by mail

Conduct basic clinical skills that contribute to safe, efficient flow and management of clients and tasks

Manage telephone calls and perform administrative duties such as operating a multi-line phone system to answer, screen and forward calls; take messages; direct callers to the appropriate contact or services; provide basic program/service information; make calls out to community members as needed

Take and record telephone, email, fax or written messages and direct to the appropriate staff member

Send & receive faxes as needed, manage the import/export pool in MedAccess

Ensure patient files and demographics are accurate and up to date with each encounter

Communicate staff sign in and time keeping as required

Health Records Management: use of electronic medical record (EMR) to locate, receive, produce, manage and organize data and information using secure file management systems (Medaccess & Mustimuhw EMR)

Apply basic billing procedures to record and complete basic financial functions as required

Document creation, formatting and design such as use of mail merge, use of forms, field and templates i.e. through mapping images to create forms within EMR as directed

Use of information systems software such as Microsoft Word, Excel and Publisher

Medical Device Reprocessing (MDR): demonstrate responsibility and accountability of MDR duties by performing duties in ethical & legal manner to ensure patient safety

Use infection prevention and control measures in all areas of clinical practice; follow written work instructions and perform MDR tasks including cleaning, disinfection and sterilization of medical instruments & devices; safely and correctly operates related equipment; complete required documentation

Complete required training and demonstrate knowledge prior to performing any MDR tasks

Monitor and manage office supply ordering for assigned programs when required

Maintain inventory of equipment/tools/materials & recommends purchasing to appropriate staff member

Pick up and drop off clinic laundry, supplies, mail/documents as needed

Draft and prepare a variety of documents as needed, such as posters, community newsletter inserts, reports, correspondence, etc.

Update social media as required with clinic changes or other updates

Ensure department policy, standards & procedures are followed, reports problems to manager & provides input into changes needed

Attend department staff meetings when required

Other related duties as required

Communicate with Internal and External Resources:



Communicate patient care and refer clients to appropriate internal and external resources as needed

Schedule patients for visits depending on type of treatment, length of time required, and staff schedules

Confirm and remind patients about scheduled appointments and pending diagnostic tests & blood work

Advocates for cultural safety of all community members while receiving health services

Other related duties as required

EDUCATION AND EXPERIENCE:

Medical Office Assistant Certificate

3 years' experience as a Medical Office Assistant

Experience working in a community health setting is preferred

Experience working with a First Nation community is an asset

An equivalent combination of relevant post-secondary health-related education and relevant work experience may be considered

First Aid Certificate/ CPR Level C required

Worksafe Hazardous Materials Information Systems (WHMIS) Certificate

Valid class 5 BC Drivers' License and reliable vehicle required

Criminal Record Check (CRC) with vulnerable sector check required

KNOWLEDGE, SKILLS, AND ABILITIES:



Knowledge of about culture, customs, and traditions of Cowichan people or willingness to learn

Experience working in a First Nations' Community Health Setting

Knowledge of Hul'q'umi'num' language an asset

Able to foster and build relationships within a diverse population

Knowledge of internal and external community health resources

Knowledge of BC Medical Service Plan billing process an asset

Certificate in or related knowledge of medical terminology

Knowledge of Microsoft Office Suites programs

Knowledge of Electronic Medical Records (EMR) such as Mustimuhw or Medaccess EMR

Well-developed written, oral, and interpersonal skills

Ability to handle potentially stressful situations in a professional manner

Time management with the ability to multitask different tasks simultaneously

Comply with legal obligations as well as with professional, ethical and organizational standards that ensure privacy, security and confidentiality in the workplace

Physical and mental ability to perform related duties
