Chilliwack Youth Health Centre is an integrated youth service provider of medical and mental health care services for youth aged 12-26. We are in our tenth year of operation. Our mission is to empower youth through providing accessible low barrier, same-day medical and mental health integrated youth services. About the position:
Chilliwack Youth Health Centre (CYHC) is seeking an experienced Medical Office Assistant (MOA). As an Integral member of a multidisciplinary team, the MOA provides support to Youth, physicians, nurse practitioners, counselling staff as well as other allied health practitioners.

CYHC determines an individual's pay based on multiple factors including experience, education, job-related skills, and equity within the team. The compensation range for this role is $21-$23/hr.
The standard hours of work for this position will be 10-15 hours per week as an employee of CYHC. Hours worked will be determined according to the Centre as determined from time to time. To respond to business needs, this role may be required to work more or fewer hours than the standard hours as determined by the Centre.
Qualifications and Experience:
The ideal applicant will have
Medical Office Assistant Certification
and relevant experience, skills and training including:
Ability to provide a valid and satisfactory Criminal Reference Check/Vulnerable Sector Search.
Typing speed of at least 50 words per minute.
Knowledge of spreadsheet and database software.
First Aid and CPR Level C certification.
Workplace Hazardous Materials Information System (WHMIS) certification.
Demonstrated commitment to ethical practices and client confidentiality.
Excellent communication, interpersonal, time management and organizational skills.
Experience working with youth and diverse client groups.
Strong ability to create productive working relationships with team members.
Knowledge of the Mental Health Act and community mental health resources
Role and Responsibilities:
Provide telephone and in person receptionist duties for the Youth Health Centre including:
Greet and welcome Youth, guests, and business representatives; determine their needs and put them in contact with the appropriate staff
Receive incoming calls and emails and answer routine inquiries; screen and/or transfer calls to the appropriate member of the team
Facilitate the tracking and monitoring of the location of all staff
Take messages or forward to email or voice mail for all staff.
Monitor and manage the general tidiness of the waiting room
Attend to Youth behaviours in the waiting room by listening, supporting, validating and in the case of disruptive behaviours employing de-escalating techniques. If necessary, contacting appropriate staff member(s) for assistance.
Provide and manage Centre intake and services including
:
Provide intake services to new Youth by determining their need or directing and connecting them to the appropriate services.
Build positive relationships with individual Youth in support of good health outcomes
Provide assistance with first time Youth file creation and initial service forms
Direct and schedule Youth services with an appropriate member of the health care team including recall and/ or follow up.
Answer routine inquiries of visiting Youth including assisting Youth to access the services of other agencies
Manage electronic Youth files and transfer information from counselling EMR to Medical EMR or vice versa as requested
Provide other services to Youth as directed by Program Manager and Counselling Interns.
Provide medical support as requested, including:
Schedule and coordinate testing such as radiology requests, specialist consultations and/or liaise with the pharmacy, social worker, ministry for social development rep or social worker etc.
Assist with urine testing through request of samples, testing using a dipstick and arranging for pick-up or drop off to the lab.
Take vital signs such as blood pressure, weight as requested.
Consult with Medical Director as advisor for and regarding medical component.
Manage medical and office supplies in the Centre, including
:
Inventory control and ordering of medical supplies
Stocking of rooms including discarding outdated samples and supplies
Cleaning of medical tables and equipment as per best infection control practice
Manage an inventory control system including ordering and shelving supplies
Monitor and maintain function of IT equipment such as computers, tablets, printers etc.
Provide clerical support for all members of the Health Care Team
Provide input regarding program administration procedures that affect the delivery of health care services
Facilitate smooth operation of reception and related areas of the office
Provide administrative support to Health Care Team, including reports, letters and notices, scanning, faxing
File Youth history/treatment records in a manner that allows for easy location and fast retrieval. Archive files.

Pick up and sort mail
Perform other duties as required
