The Clinic Manager is responsible for the day-to-day operations of Noir Medical Aesthetics, ensuring an exceptional client experience, efficient clinic performance, and adherence to brand and service standards. This role oversees all front-of-house operations, staff scheduling and performance, inventory management, and customer service delivery. The Clinic Manager supports the Director of Operations and collaborates closely with the Medical Director to ensure that clinical and aesthetic services are delivered in a professional, safe, and luxurious environment consistent with Noir's brand identity.
Key Responsibilities
Client Experience & Brand Standards
Uphold Noir Medical Aesthetics' brand standards, ensuring the clinic maintains a polished, welcoming, and professional environment at all times.
Oversee the complete client journey -- from booking and check-in through to post-treatment follow-up and retail sales -- to ensure a consistent, premium experience.
Address and resolve client concerns promptly and professionally, maintaining the highest standards of customer satisfaction.
Ensure clinic presentation, cleanliness, music, lighting, and scent align with Noir's brand aesthetic and hospitality expectations.
Staff Leadership & Scheduling
Oversee Patient Care Coordinators, ensuring exceptional front-desk service, adherence to protocols, and strong communication with clinical staff.
Coordinate scheduling for all Nurse Injectors, ensuring balanced appointment allocation, productivity, and efficient use of clinical space.
Manage staffing schedules for front-of-house operations, including lunch breaks, vacations, and coverage to support clinic flow.
Conduct regular staff meetings and ensure all team members are informed of service updates, promotions, and policy changes.
Lead recruitment, interviewing, onboarding, and performance reviews for Patient Care Coordinators.
Support training initiatives to uphold service standards, product knowledge, and hospitality expectations.
Inventory & Procurement
Oversee all medical and retail inventory, including neurotoxins (Botox, Dysport), dermal fillers, skin boosters, consumables, and skincare products.
Maintain accurate inventory levels in accordance with the clinic's inventory management program.
Manage ordering, receiving, and reconciliation of stock from approved vendors.
Ensure all products are properly stored, tracked, and rotated in compliance with medical and safety standards.
Identify cost-saving opportunities and maintain supplier relationships to optimize procurement efficiency.
Operations & Administration
Oversee daily clinic operations including opening/closing procedures, cleanliness, and client flow.
Maintain compliance with all clinic policies, safety procedures, and medical regulations.
Support development and enforcement of standard operating procedures (SOPs) across departments.
Track and report on key operational metrics such as appointment utilization, client retention, retail sales, and inventory accuracy.
Manage clinic communications, email inquiries, and customer service channels.
Coordinate with external vendors for maintenance, supplies, and marketing collateral as needed.
E-Commerce & Fulfilment
Oversee Noir's online shop operations, including order fulfilment, inventory updates, and timely client communications.
Respond to customer service inquiries related to online purchases, ensuring a seamless and professional experience consistent with in-clinic service standards.
Work with the Director of Operations to identify opportunities for product promotions and digital sales growth.
Qualifications & Skills
Minimum 3-5 years of management experience, ideally in medical aesthetics, healthcare, or luxury retail/hospitality.
Strong leadership and interpersonal skills with a demonstrated ability to motivate and manage a team.
Excellent organizational and multitasking abilities with strong attention to detail.
Proven ability to deliver exceptional customer experiences in a premium or clinical setting.
Proficient in scheduling systems, POS, and CRM software (experience with aesthetic or medical clinic platforms preferred).
Knowledge of medical inventory and product handling practices.
