About the Role

We are seeking an

experienced Administrative Assistant (Medical Office)

to join our team. The successful candidate will bring a strong background in medical office administration, excellent organizational skills, and a passion for delivering exceptional patient service. This role is essential in ensuring smooth clinic operations, supporting our providers, and creating a welcoming environment for patients.

Key Responsibilities

Provide front desk reception duties, including greeting patients, answering calls, and responding to inquiries. Schedule and manage appointments for multiple healthcare providers. Process and manage specialist referrals, including booking and patient communication. Handle incoming mail, faxes, prescriptions, and other documentation. Maintain accuracy and confidentiality in electronic medical records (EMR) systems (Telus PS Suites experience required). Support team meetings by organizing agendas, recording minutes, and distributing materials. Collaborate with the clinical and administrative team to ensure smooth daily operations. Assist the Business Operations Manager with additional tasks as assigned. Ensure infection control and safety standards are met within the clinic.
Required Qualifications

Minimum 2 years of receptionist/administrative experience in a medical office (required).

Proficiency in

Telus PS Suites EMR

. Demonstrated experience scheduling for multiple providers in a fast-paced medical setting. Strong computer skills: Microsoft Office (Word, Excel, Outlook) and general office software. Exceptional communication, organizational, and problem-solving skills. Ability to work both independently and as part of a team in a dynamic healthcare environment. Current immunization record, Accessibility Training, WHMIS, and Mask Fit testing (provided if not in place). Vulnerable sector police clearance (required). Reliable transportation to the Horseshoe Valley clinic location.
