Expectations

The Massage Coordinator is responsible for supporting the Massage Services Manager, Massage Practitioners and Reservation team with day-to-day needs of the Massage Department.

Tasks & Responsibilities:



Massage Scheduling

Assist the Massage Services Manager with managing massage capacity levels on a weekly basis. Adjust or alter Massage Practitioner schedules based on contract agreement. Execute massage shift exchanges. Oversee off-season and vacation requests and communicate them to the Massage Services Manager. Ensure massage revenue is maximized by utilizing therapist and room availability. Communicate any immediate changes to therapist availability with the Reservation Team Leads, Senior Guest Experience Supervisor and Guest Experience Manager.

Administrative duties

Organize and maintain therapist records of insurance, business license, WorkSafe BC and all other required certificates. Track and prepare massage booking data for reports. Coordinate with insurers and therapists for release of record claims. Create therapists profiles in Zenoti. Ensure DVA Monthly data input is completed in a timely manner. Assist with the filing, processing, auditing and distributing gratuities, and corporate vouchers.

Recruitment

Assist the Massage Services Manager to coordinate the recruitment of Contracted Massage Practitioners. Provide first-day orientation for new Contracted Massage Practitioners Initiate administrative files and ensure documentation is complete and tracked.

Massage Pavilion

Assist the Massage Services Manager with maintaining a clean and professional workspace. Daily and weekly walkthroughs to ensure workspace and equipment are up to standard. Monitor inventory levels, place orders for required stock items, and plan future purchasing according to budget. Replenish stock in the Pavilion and break room. Work with Massage Services Manager to identify and execute Massage Pavilion improvement plans in accordance with allocated budget.

Massage Practitioners Liaison

Support Massage Practitioners daily with operational and administrative requirements. Assist with relaying any procedural changes or announcements. Connect and relay Massage Practitioners' feedback to the Massage Services Manager.

Other Responsibilities

Be the point of contact for Team Leads and Reservations staff for any concerns or questions with regards to balancing procedures and therapist management work. Assist the Guest Experience Manager with balancing training. Ensure the balancing procedures manual remains up to date. Ensure to communicate any change to the Guest Services Manager and Senior Guest Experience Supervisor. All other tasks requested of you for the smooth and efficient function of the Scandinave Spa Whistler.

Prerequisites:



Experience in customer service environment required Experience in a leadership role required. Proficient with Microsoft Word, Excel Outlook Must possess a professional presentation Strong interpersonal and problem-solving abilities Ability to work cohesively with a large group of contract workers and employees Ability to prioritize tasks in a busy, ever-changing work environment Demonstrate a good team spirit and a positive attitude Must be able to work weekends, holidays, and be flexible to work AM/PM shifts according to business demands. * Clear criminal record check
