Position Overview:
We are seeking a dedicated, full-time Marketing Project Coordinator to join our Brand Experience team.
This role encompasses marketing project management and process optimization (40%), web development project management (30%), and administrative support (30%) aimed at driving process optimization and growth.
The Marketing Project Coordinator reports into the Senior Brand Manager, and will work closely with the Marketing Program Manager and channel specialists to track timelines, manage workflows, and align cross-functional teams. By owning project intake, resourcing, and administrative tasks, this role will support senior channel leads to focus on strategic priorities.
Additionally, this position requires a strong eye for design, the ability to edit marketing assets (on an adhoc basis), with experience in Asana or similar project management tools to manage complex workflows.
Key Responsibilities:
40% - Core Marketing Project Management
Project Intake & Workflow Management
Manage the submission process for all marketing briefs, ensuring complete information and relevant assets are provided.
Work closely with the Marketing Program Manager to define project classification, workflows, and prioritization.
Track timelines, milestones, and deliverables across marketing channels to ensure smooth project execution.
Monitor deadlines, escalate risks, and adjust workflows to meet business needs.
Cross-Team Coordination
Act as the central point of contact on behalf of brand marketing team
Action feedback, revisions and communications to streamline the approval process
Drive alignment across teams through clear communication and newly established processes.
Leadership Support
Support by managing administrative tasks, including brief creation, project communications, timeline management, expenses, inventory management, and operational follow-ups.
Prepare reports and project updates to support leadership decision-making.
Design & Asset Support
Edit ad hoc, repurposing of marketing materials in Canva and Photoshop to support campaign and channel needs (i.e. spec changes, copy, etc.) to support speed and agility.
Ensure all assets are on-brand, high quality, and aligned with creative guidelines provided by the Creative Services team.
30% - Web Development Project Management
Project Planning & Roadmapping
Maintain a web project workflow process integrated within Asana for management and visibility across teams.
Prioritize web projects based on business needs, consumer experience goals, and upcoming product initiatives and launches.
Ensure timelines are met and work is aligned with marketing goals.
Cross-Functional Integration
Ensure seamless alignment between marketing initiatives and coordinate with various teams to ensure accurate product pages and updated content, and timely rollout of site changes.
Partner with internal teams including web developers to support in the project management of website design and development projects
30% - Additional Support Areas
Expense Management: Support budget tracking and invoicing for channel marketing.
Tool Management: Assist in optimizing project management tools for better cross-team visibility and efficiency.
Inventory Management: Oversee asset ordering, tracking, and replenishment to ensure accurate inventory levels.
Additional Support Areas: Provide assistance with various tasks and initiatives as needed, adapting to evolving priorities and supporting the team with ad hoc projects or responsibilities that arise.
Key Qualifications
3-5 years of experience in marketing project management, with a focus on digital projects.
Strong understanding of marketing workflows, creative production processes, and cross-functional collaboration.
Proficiency in Asana or similar project management tools for managing timelines, capacity planning, and reporting.
Hands-on experience with Canva and Adobe Photoshop (Illustrator or InDesign is a plus).
Familiarity with web development projects (e.g., CMS management, UX/UI collaboration, content updates).
Strong organizational and time-management skills, with the ability to juggle multiple priorities.
Excellent communication skills and a solution-oriented mindset.
Strong attention to detail
Experience in the natural health, wellness, or CPG industry is an asset.
Bilingual proficiency in French would be an asset and is considered beneficial for this role, but it is not mandatory.
PMP certification is considered a nice to have.
