Willow Park Wines & Spirits is seeking a highly organized and detail-oriented professional to join our team on a temporary basis to support the planning and execution of our annual Charity Wine Auction. This event is a cornerstone of our community engagement, and we are looking for someone who can ensure its success while also assisting with day-to-day marketing initiatives. This is a fully on-site role, requiring hands-on involvement and collaboration with our team.

Key Responsibilities

Collaborate with the Director of Marketing to plan and execute the Charity Wine Auction, including logistics, vendor coordination, guest management, and event-day support. Oversee timelines, budgets, and task lists to ensure nothing falls through the cracks. Manage event communications, including invitations, confirmations, follow-ups, and acknowledgements. Provide support for marketing projects, such as campaign coordination, content scheduling, and collateral development. Track and report on event and campaign progress, ensuring deliverables meet deadlines. Liaise with partners, sponsors, and internal teams with a professional and polished approach. Perform administrative tasks such as maintaining contact lists, drafting communications, and updating project trackers.

Qualifications & Skills

Proven experience in event coordination, project management, or marketing support. Exceptional attention to detail -- accuracy and precision are non-negotiable. Strong organizational and time management skills, with the ability to juggle multiple priorities. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite and Google Workspace. Flexible and highly adaptable to change, able to pivot quickly when plans shift. Ability to work both independently and collaboratively in a fast-paced environment. A positive, professional, and solutions-focused attitude.
