Role Overview

We are a private Oral and Maxillofacial Surgery (OMFS) surgical facility seeking a Marketing & Events Coordinator to support our brand and referral engagement.

The Marketing & Events Coordinator is responsible for planning, executing, and supporting all marketing and event initiatives that strengthen relationships with referral partners, engage patients, and promote clinic services. This role blends creativity with organization -- managing event logistics, producing high-quality marketing materials, driving social media engagement, and ensuring the brand experience is consistent across all touchpoints.

Key Responsibilities

Events

Plan and coordinate events for the clinic's referral base -- from initial concept to day-of execution. Manage guest lists, RSVPs, invitations, catering, venues, sponsorships, and post-event follow-up. Oversee gift bags, signage, photography, and other event materials. Ensure all events run smoothly and reflect the organization's professional and welcoming image.

Design & Content Creation

Create engaging designs for digital and print media -- brochures, invitations, signage, and educational materials. Develop content for social media, newsletters, and referral communications. Write or edit copy for campaigns and materials; leverage AI tools where appropriate while maintaining an authentic voice. Source imagery and coordinate printing through vendors such as VistaPrint or similar. Understanding of dental or medical terminology is an asset.

Social Media Management

Manage the clinic's presence across Meta Business Suite, Facebook, and Instagram. Create, plan, post, and boost social media content (videos, reels, stories, and static posts). Track engagement and interactions to build a strong and active online community. Align campaigns with overall marketing and referral goals.

Customer Experience & Reviews

Monitor and respond to patient feedback and online reviews. Engage with surveys and Google reviews to ensure positive patient and referral experiences. Track and report on feedback trends, identifying opportunities for improvement.

Referral Gifting & Outreach

Organize and deliver thoughtful thank-you gifts to referral partners. Manage seasonal and event-based gifting programs, including budgeting and logistics. Maintain a professional and warm presence when visiting referral clinics.

Required Skills & Tools

Software Proficiency:

MailerLite, Canva, VistaPrint, Meta Business Suite, Facebook, Instagram, Microsoft Office Suite. Strong organizational skills with attention to detail. Excellent written and verbal communication. Creative thinker with eye for design and storytelling. Ability to manage multiple projects and deadlines simultaneously. Professional, collaborative, and comfortable in both clinic and remote settings. Understanding of dental or medical terminology is an asset.

Work Structure and Compensation

Hybrid role:

Combination of in-person work at clinic locations (4 total in and around the Calgary area) and remote execution of marketing and design activities.

Hourly position

: 40 hours a week.

Compensation:

$26-$32 per hour, based on experience and skill level. Some travel required for local event setup and referral partner visits.
