Summary
Reporting to the Director, Program Management, the Manager, Program Management Assistants directly manages the group of Program Management Assistants, and has the following main responsibilities:

Responsibilities

  • Accountable for the accurate and timely completion of monthly invoicing,
  • Accountable for proactive completion of dashboard, progress and financial reporting and other tracking tools to assess project progression
  • Accountable for upkeep of the Global Master Schedule for newly assigned study codes and updated entry of dates reported to PMA, as well as generating sponsor study extracts in preparation for audits, visits and other requests
  • Oversees ongoing QC of monthly reporting and invoicing activities, including proactively escalating as projects approach contract scope
  • Monitors FTE usage and pass-through charges and compiling reports as needed;
  • Works with the Program Management teams to provide visibility on contract completion and invoicing when support is required;
  • Supports requests for the refund process following contract closure or termination;
  • Answers sponsor and internal inquiries on invoices requested and payment strategy as detailed in the contracts
  • Oversees study initiation infrastructure set up from study folder architecture to entries in tools for invoicing and reporting to set up of the study in the timesheet system
  • Ensures new studies are appropriately entered in LIMS at initiation and creates extracts to support sample inventory and return upon study close out
  • Ensures that new projects are proactively entered into the Program Management tool shortly after contract signature and distribution, and that completed projects are promptly removed from reporting tools after following the required reconciliation steps
  • Performs other tasks as required.
Education
  • B.Sc. in Sciences (or a related field), or DEC in Science with 10 years\xe2\x80\x99 relevant experience
Main Requirements
  • At least 3 years of industry or related experience is preferable
  • Ability to train and support staff members;
  • Excellent problem-solving and ability to work in a multi-tasking environment;
  • High degree of initiative, sense of urgency and flexibility;
  • Strong attention to detail and commitment to achieve good quality work;
  • Efficient time management, record keeping and organizational skills;
  • Excellent interpersonal, communication and leadership skills;
  • Positive, professional attitude and leadership skills;
  • Proficiency with MS Office suite, specifically Excel
