Cynergy Mechanical is seeking a highly organized and experienced
Manager, Preventative Maintenance Services
to lead the delivery of our preventative maintenance programs and contracts. This is a pivotal operations role -- ideal for someone with HVAC expertise and a background in data-informed service delivery, contract administration, and quality assurance tracking.
In this role, you will be responsible for planning, executing, and coordinating preventative maintenance programs for a client base that includes institutional landlords, portfolio managers, and capital-focused real estate owners -- all of whom demand transparency, precision, and long-term value.

KEY RESPONSIBILITIES
Operational Coordination:
Lead the day-to-day execution of our Preventative Maintenance (PM) programs -- manage the PM calendar, technician assignments, contract scope tracking, and ensure performance deliverables are met.
Labour + Workforce Planning:
Collaborate with the Technical Services Lead and Workforce Management to align technician forecasting, scheduling, and capacity planning with ongoing and upcoming program requirements.
Service Quality Assurance & Metrics:
Monitor program performance through defined KPIs and quality assurance measures; support continuous improvement by tracking trends, identifying gaps, and implementing corrective actions to ensure service excellence.
Deficiency Oversight:
Host weekly quality control and deficiency review meetings; assign client reference numbers and coordinate with the estimating team to ensure issues are documented, quoted, and resolved in a timely manner.
Contract Management (New + Renewal Support):
Contribute to internal performance analysis, costing updates, and the preparation of client-facing proposals for new and renewable preventative maintenance contracts.
Client Communication + Reporting
: Prepare and distribute technical summaries, work order reports, inspection logs, and program follow-up communication on behalf of the Operations team.
Data Management:
Maintain and update equipment asset records, service trackers, and technician field reports to ensure data accuracy and accessible service histories.
Procurement Support:
Monitor consumables inventory (filters, belts, etc.) with the Lead of Warehouse Operations and manage the procurement with pre-approved vendors to support uninterrupted service delivery.
Team Collaboration:
Act as a core member of the Operations Team, promoting consistency, quality control, and a culture of safety, integrity and accountability in all aspects of service delivery.
KEY QUALIFICATIONS
Post-secondary education in mechanical engineering technology, HVAC systems, building services, or project coordination/administration.
A valid Ontario driver's license (occasional site visits may be required).
Minimum of 3 years of experience in a mechanical, HVAC, construction, or facilities environment with a strong focus on scheduling, documentation, and service delivery.
Familiarity with HVAC systems, preventative maintenance programs, service contracts, and equipment-level reporting.
Experience working with third-party vendors and service partners is a strong asset.
Strong operational acumen with the ability to manage project timelines, contract scope, and service deliverables in a high-performance environment.
Demonstrated ability to coordinate and support cross-functional teams, including field technicians, estimating, planning, warehouse, and project coordinators.
Exceptional attention to detail and the ability to anticipate needs, flag issues, and drive solutions independently.
Ability to manage quality control documentation, contract reporting, and technical summaries with accuracy and professionalism.
Comfortable working in a fast-paced environment, managing multiple evolving priorities with clarity and focus.
Expert-level proficiency in Microsoft Office -- particularly Excel, Word, and Outlook -- and strong experience with Microsoft Teams and PDF workflows.
Skilled at maintaining structured digital files and working within formalized document control systems.
Advanced capability in managing templates, trackers, and reporting tools accurately and efficiently.
Excellent written and verbal communication skills -- particularly in coordinating with technical teams and reporting to clients and stakeholders.
Highly organized, dependable, and consistent in follow-through on open items, scheduling commitments, and documentation.
Professional, mature, and comfortable interacting with clients and internal stakeholders at all levels with discretion and integrity.
