Reporting to the Associate Director, Supply Chain Management, Distribution Services; the Distribution Manager plays a key leadership role in the delivery and support of all Distribution Services. The incumbent will set priorities and supervises staff and workloads of their immediate team, ensuring that all goods and services are managed cost-effectively to support the University's daily objectives. The Distribution Manager will spend a minimal amount of time performing functional tasks and is expected to work unsupervised. Depending on the assignment, this position will be responsible for activities related to Distribution Services, including the receipt, issuance, and delivery of goods and services to faculties and departments, asset disposals, and overseeing Customs and Traffic activities. This role requires a strong background in operations and logistics, execution, and administration, along with the ability to contribute to the development and implementation of an effective logistics strategy for the University. The incumbent will also liaise with Procurement Services and Card Programs to ensure delivery, logistic, and special handling information is shared in a timely manner to maximize operational efficiency. The successful candidate must be a team player and strive to provide excellence in customer service to their University clients. This position will interact and work cooperatively with all members of the Supply Chain Management Team as well as all internal and external customers and suppliers.
This position requires strong people management skills, the ability to handle multiple and often conflicting priorities, perform well under pressure, and communicate effectively with all levels of the University.
This key position leads a team of individuals ensuring the delivery of Distribution Services to faculties and departments. The Distribution Manager is responsible for leading and facilitating cross-functional teams and executing strategic logistic and operating initiatives across various business units of the University. The Distribution Manager will identify cost saving opportunities through the implementation of effective logistic and operational improvements for Distribution Operations. This role assists in coordination of the movement of goods and services in stores and hub locations across campus.
Summary of Key Responsibilities
(job functions include but are not limited to):
Leadership (50%)
Interview and selection of staff for their immediate team (direct reports), as well as ongoing performance management. This includes hiring, training, staff development, performance evaluations, disciplinary action, and dismissal. The incumbent will manage the performance of all direct reports and prepare and communicate annual performance reviews.
Oversee the daily activities of assigned work team ensuring workloads are maintained and compliance with all operational policies and procedures.
Educate and lead direct reports and faculty/business unit clients on applicable operational policies, procedures and their application to University of Calgary Distribution Services Operations.
Contributes to the departmental strategies and achieves departmental goals through coordinating the work of staff.
Coaches, directs and mentors team members while inspiring potential, trust and learning, while delivering results.
Communication/Relationships (25%)
Lead staff meetings to ensure internal business requirements are being met.
Manage relationships with key internal/external clients and stakeholders to problem solve, provide conflict resolution, trouble-shoot, and ensure involvement in campus logistical and operational matters.
Strategize with peers within department and across campus to train, share learning and understanding of Distribution Operations.
Responsible for the content and delivery of all training materials for internal/external clients.
Liaise with Procurement Services, Facilities Management Development, Risk Management and all faculties and departments.
Promote the services of the department and act as a resource for addressing logistic and operational issues.
Use tact and diplomacy to share information and handle issues as they arise.
Distribution Activities (25%)
Play a leading role in distribution operations and logistic strategy development and ensure successful execution to meet client requirements and expectations.
Ensure all technology associated with Distribution Operations both centrally and at satellite locations is maintained and used as per established procedures.
Liaise with large client base to ensure services are aligned with customer needs and expectations.
Support and promote core values and business practices of the SCM Department.
Identify and implement cost-saving and process improvement opportunities.
Analyze and shift workload distribution amongst staff as required.
Qualifications / Requirements:
The incumbent must have a minimum of 5 years logistics/operations/inventory and custom clearances experience in a Distribution Service operation. Having or working towards a CITT-Certified Logistics Professional or a Certified Customs Specialist (CCS) designation or equivalent is preferred. A combination of education and experience will be considered.
Success in this role requires:
Strong background in customs clearances that includes experience as a liaison between customs broker(s) and internal stakeholders.
Strong strategic planning/thinking and analytical skills.
Well-developed leadership skills including influencing, problem solving, being a change agent and increasing client collaboration
Excellent organizational, interpersonal and communication skills.
Capability to deal with shifting priorities and remain professional in stressful situations.
Multi-task and work in an environment with multiple interruptions.
