Position Overview

The Department of the Clinical Research in the Cumming School of Medicine invites applications for a Manager, Clinical Research Business Services. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

Reporting to the Director, Clinical, Health Services and Population Health Research, Cumming School of Medicine (CSM). This is a key leadership position in the Calgary Centre for Clinical Research (CCCR) overseeing the CCCR operations.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Leadership and Administration

Responsible for the recruitment, onboarding, evaluation, supervision and coaching of CCCR operations staff members (full managerial discretion up to and including discipline and termination for direct reports)

Responsible for setting customer service standards and ensuring that these are demonstrated by all direct reports

Ensures that staff are fully utilized during their working hours

Provides a positive leadership model to staff, is a willing coach and mentor, shares knowledge and expertise freely, and creates a safe and productive work environment

Acts as backup to the Director, Clinical, Health Services and Population Health Research in their absence

Contributes to annual budget and resource planning for the CCCR

Participates in the planning, implementation, and management of new strategic initiatives related to the growth of the clinical research program at the University

Produces regular reports and response to specific reporting requests

Financial and Operational Functions

Administrative oversight of clinical trials and clinical research activities relating to financial transactions for CSM

Acts as the principal contact for investigators and coordinators with questions related to the financial and budgeting conduct of Clinical Trials

Liaises with external groups involved with Clinical Trials

Negotiates budgets and financial terms in contracts with Pharmaceutical Sponsors/CROs while establishing and maintaining positive working relationships with Sponsor and CRO contacts

Advises clinical research teams on financial planning including budget analysis, budget development, financial monitoring and reporting for clinical trials

Reviews and approves clinical trial budgets included in clinical trial agreements and amendments

Manages and reports on the Clinical Research Fund (CRF)

Final approver for all clinical trial budgets for CSM

Manages invoicing and billing processes related to AHS Calgary Zone Research Pharmacy and the Heritage Medical Research Clinic (HMRC)

Oversees invoicing related to clinical trials

System Applications: Processes and Training

Acts as operational lead for OnCore Clinical Trial Management System (CTMS): maintenance of charge master and approval of clinical trial budget set-up in the system

Acts as the operational lead for the CSM Legal System: development of finance processes, system improvement suggestions, reporting suggestions

Responsible for ensuring operations team is trained on and follows all processes related to the OnCore Clinical Trial Management System and the CSM Legal System

Responsible for developing and documenting OnCore related finance and operational processes in collaboration with the Provincial OnCore Support Team, engaging with UCalgary Finance as required

Responsible for developing and documenting CSM Legal system finance and operational processes in collaboration with CSM Legal

Recommends finance and operations related improvements to clinical trial processes and practices collaborating with system end users, key stakeholders and organizational leadership as needed and ensuring alignment with University goals, engaging with UCalgary Finance as required

Participates in evaluating how system upgrades may affect current finance and operations policies and procedures

Qualifications / Requirements:

  • Bachelor level degree in a field related to business or finance
  • Minimum of 10 years of experience in a finance related role
  • Minimum of 5 years of experience in a clinical trial related role
  • Minimum of 3 years of management experience including recruiting, onboarding, performance management, mentoring and coaching
  • Previous experience in an academic setting would be an asset
  • In-depth knowledge of the principles and practices of business accounting
  • Extensive experience with budgeting, budget negotiations, accounts receivables and payables process, financial analysis, invoicing, audits, forecasting and variance analysis concepts
  • Ability to prioritize workflow and meet critical financial deadlines
  • Familiarity with the following University systems would be an asset: PeopleSoft System, OnCore Clinical Trial Management System, CSM Legal SharePoint
  • Advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Ability to use creative and effective presentation skills
  • Knowledgeable in the use of information technology
  • Proven organizational skills and multitasking skills
  • Excellent verbal and written communication skills, interpersonal skills, and attention to detail
  • Ability to strategically manage multiple projects and occasionally conflicting priorities
