McMillan has an exciting opportunity for a client-focused individual to join a fantastic team as a Manager, AV Services in our Toronto Information Technology Department. The role is responsible for the overall leadership, coordination, oversight and growth of AV/event technology services at the firm, including leading a small team of Event Technology Specialists and planning and facilitating a positive meeting experience for onsite and remote participants.



This is a great role for someone who enjoys working with audio/video technologies, computer hardware and online meeting platforms such as MS Teams, WebEx and Zoom, and has experience managing technical setups and support teams for onsite and virtual events, conferences and meetings.


It is important to note that this role has a requirement to work onsite in the Toronto office at all times. This role will provide support to firm members both onsite and remotely, but the successful candidate will always work from the Toronto office.

What You'll Do





Your key responsibilities will include:


Overseeing the AV services delivery by monitoring event pipeline, managing and coordinating event schedules, assigning team members to events, collaborating with key stakeholders including the business, Hospitality & Concierge Services, Facilities, IT teams and external participants. Managing a small team of Event Technology Specialists operating events in Toronto and nationally and collaborating with staff in other teams and offices across Canada to provide technology support for events. Collecting feedback from internal and external stakeholders on event experience, tracking opportunities for process, technology and service delivery improvements. Support the development of the AV services strategy based on feedback from stakeholders, evolution of collaboration practices in the legal and other industries and exploration of new service opportunities for the firm. Serve as an event operator alongside the teamas required based on event schedules or during peak times; providing high quality, client focused corporate boardroom event and technology services through accurate and timely setup, operation, and breakdown of required AV equipment, and ensuring that all participants are appropriately connected, whether onsite or remote. Managing TV screens, cameras, sound equipment, projectors, monitors, clickers, online meeting and webcasting platforms. Liaising with respective personnel to provide onsite and remote event and boardroom support for events ranging from 2-100 attendees. Operating an analog or digital mixing boards, which includes, but is not limited to signal routing, in-room and audio feed sound equalization and audio feeds to web-based platforms such as MS Teams, Cisco WebEx and Zoom. Assisting with video conference and online meetings on MS Teams, Cisco WebEx and Zoom. Monitoring and managing from start-to-finish meetings or events, assisting with content sharing and troubleshooting as necessary. Planning the full end-to-end audience experience, working directly with clients on event needs from pre-event activities to post-event engagement and debrief. Responding to Incident, Problem and Change Requests within defined SLAs. Collaborating with internal and external technical support resources to troubleshoot and resolve issues affecting the boardroom experience, and coordinate infrastructure maintenance and equipment upgrades. Assisting with refining, documenting, and implementing processes and operational checklists and maintaining other infrastructure documentation (including equipment EOL/EOS/warranty dates, support contracts, AV equipment licenses, IP addresses, etc.). Providing occasional support outside of regular business hours as required. Maintaining operational dashboards and reports (e.g. online meeting, event, and boardroom utilization stats). Occasional travel to other McMillan offices in Canada as needed.

What You Bring




At least 3-5 years of experience with boardroom systems and audio/video technologies. At least 3-5 years of experience using MS Teams, WebEx and Zoom conferencing solutions - additional experience with other platforms including Go-To Meetings and Skype is considered an asset. Proficiency across different boardroom and collaboration technologies and capabilities, including polls, breakout rooms and various methods of content sharing. Strong understanding of the use and function of MS Teams and WebEx with experience scheduling and configuring meetings and meeting participation via Cisco room kits and integrated boardrooms. Experience with MS Teams and WebEx Control Hub administration is preferred. Experience with vMix, OBS, Wirecast, video editing and publishing on Vimeo and YouTube is an asset. Exceptional customer service experience with a focus on boardroom collaboration services. Excellent verbal and written communication skills. Familiarity with boardroom booking processes and meeting booking software such as Rendezvous or Condeco is an asset. Ability to remain calm and solve problems effectively in high stress situations. Strong project management, presentation, organizational and time management skills. Willingness to work occasional evenings and weekends. Ability to lift up to 50lbs. Experience with legal services such as virtual hearings is an asset.
