Job Description

THIS POSITION IS ON RESERVE AND WORK IS IN PERSON, PLEASE DO NOT APPLY IF YOU DO NOT ALREADY LIVE IN THE AREA CLOSE ENOUGH TO TRAVEL DAILY. WE DO NOT SPONSER THOSE OUT OF THE AREA FOR RELOCATION. MUST BE WILLING TO TAKE CALL FOR SICK CALLS IF AND HCA IS UNAVAILABLE FOR A SCHEDULED SHIFT. HAVING YOU HCA CERTIFICATION IS A PLUS.

POSITION SUMMARY:



Under the direction of the Director of Health Services, the Manager will perform the following duties.

POSITION DUTIES



Administration -



Monitor expenditures and ensure operations are within an approved budget.

Ensures that all administration, correspondence, and files are properly maintained.

Conducting staff meetings bi-weekly and/or as required.

Minute taking - at all staff meetings and ensure minutes are available to staff. Ensure all action items are represented at each staff meeting.

Ensure the manuals are easily accessible to all staff.

Must develop and maintain an inventory list of all Keehewkamik admin equipment, furniture, and supplies.

Purchase office supplies as required.

Consistent follow-up to ensure that sign-in/ sign-out procedures are followed.

Must prepare all advertisements.

Retrieve mail from HR at Alexander Health Services and deliver to residents personally.

Must record out-going mail and give to finance for mailing.

Must sort all incoming faxes and deliver to the LPN and/or Resident Care Supervisor (RN) as addressed.

Must monitor all long-distance calls and report any unauthorized long-distance (non-business) related calls to the Health Director.

Ensure the Modified Work Schedule is utilized and posted in a visible area, i.e., three months etc.

Ensure that a copy of the Sign in/out sheets accompany the time sheets when submitting for payroll.

Previous years' time sheets, sign in/out sheets are to be kept in storage for ten (10) years.

Appropriate tracking of the various employee benefits, i.e., Personal Leave, Vacation, Cultural or Traditional Leave, Sick Leave etc.

For any changes to any documents, the use of 'white out' is not permitted. Use one line to cross out the error and initial. These documents could be utilized with/as legal documents.

Ensure Health Director and Finance Department receives a copy of the schedule monthly. Additionally, Health Director and Finance are to be notified to any changes to scheduling.

The computers will be protected with a password and provided to the Executive Assistant.

Must participate in the Family Case Conferences and Family Counsel Committee Meetings.

Incident reports are to be recorded, monitored, completed and supervision of any/all action items.

Must attend Alexander Health Services staff meetings at the Health Centre as held on Monday mornings.

Groceries and Food Preparation



The Manager is required to cook or assist in the kitchen when needed.



Ensure food preparation and storage is according to Health Canada.

Monitor the groceries to ensure the items are not out dated and that there is an adequate supply. Monitor the janitor supplies to ensure the items are environmentally friendly and safe. Ensure that there is a 'Menu' posted in the kitchen and that it is adhered to. Ensure recommendations from 'Licensing' are adhered to. Ensuring Hairnets and gloves are to be utilized. Cultural and Traditional foods are prepared and served. Ensure pantry is always clean and tidy. Ensure the kitchen staff have food handling certification. Ensure kitchen is sanitized daily. Ensure the (3) sink or dishwasher is utilized to sanitize the cookware.

Reports -



Assist in preparing statistical reports. Prepare Year-end Reports and annual reports and ensure the Executive Assistant has a copy. Will assist in development of an annual work plan for Keehewkamik. Maintain and update an inventory list bi-annually of Keehewkamik assets and submit list to AHS Administrative Assistant to be filed accordingly. Periodically monitor and check the inventory list and complete a report for any missing equipment or items and submit the report to the Health Director.

Marketing/Promotions -



Produce brochures and print material. Make a submission to the AHS Newsletter prior to the deadline for printing. Capable of responding to inquiries about Keehewkamik. Assist in marketing and promoting of the Keehewkamik. Actively promotes the goals of the Organization. Participate and disseminate information at the annual Health Fair and Open House.

Human Resources -



Prepares a report for any complaints and investigations regarding staff and provides a report to the Health Director.
Ensures that all Non-Medical Incident reports are recorded, monitored, completed and supervision of any/all action items have been accomplished. The Health Director is to receive a copy of the completed incident report.

Ensure that each employee is up to date regarding immunization, flu shots etc.

Ensure employees have current paperwork, i.e., Criminal Check, CICIO etc.

Participate in the interview process of any new employees.

Ensures employees are orientated and adhere to all the Policies and Procedures.

Ensure all employees are familiar with Emergency Response Plan and Procedures, Contingency Plans, Quality Improvement Plan, Strategic Plans, i.e., Fire drills, Evacuation Procedures etc.

Ensure Employees are up to date on their work-related certifications, i.e. First Aid and CPR certification etc.

In consultation with the Resident Care Supervisor and/or LPN are licensed as HCA and listed on the Alberta Health Services HCA Directory.

Coordinate social activities for the employees, to promote wellness and team work.

Must ensure requests from staff for attendance at meetings, trainings, and workshops are as per policy and procedures approved by Health Director before submitting to Finance. Approved requests must be made in duplicate with one copy submitted to Finance and the other copy to be given to the HR Clerk for their personal files.
Ensure employees behavior and practice reflects current professional standards.

Provide ongoing guidance and support to staff members.

Provide conflict resolution to staff and/or residents as needed.

Conduct performance evaluations as per policy and procedure manual.

BUILDING MAINTENANCE/SAFETY -



Monitor security cameras daily, document and report to Health Director any unusual activities. Must develop an active list on inspections, i.e., fire drills, fire extinguishers, etc. This active list shall contain the following;
Date and time

Purpose of inspection and/or drill

Duration of inspections

File all inspection reports in appropriate areas.

Participate in the implementation of the Keehewkamik Emergency Response Plan and procedures and participates in emergencies that arise. Ensures that emergency drills are conducted periodically and keep appropriate documentation. Ensure emergency contact numbers are clear and posted in visible areas. File and maintain all warranties in a locked cabinet. Document and prepare a report of the deficiencies and inform the Health Director and develop an action plan and post in visible areas. Keeping a report of the maintenance completed, incomplete or outstanding. Ensures cleanliness of building by monitoring cleaning schedules Ensures the implementation of the Keehewkamik Emergency Response Plan and procedures and participates in emergencies that arise. Ensuring the maintenance of the building is up to date by: Booking the YTC Building inspector on an annual basis Filling of inspection reports accordingly Must report any building deficiencies to Director immediately. Inform part time maintenance personnel on a weekly basis of any minor deficiencies. Ensures there is a fire escape plan and posted in all visible areas. Ensure emergency contact numbers are clear and posted in visible areas. Develop and document a maintenance schedule and ensure the schedule is initialed by the maintenance crew. Responsible for documenting all major and minor deficiencies of the building and furnishings. Document and prepare a report of the maintenance completed and maintenance incomplete or outstanding. Monitor and document all safety drills and their outcomes on a quarterly basis. Protects self and others from health and safety hazards and helps to improve workplace safety. Must ensure all entrances are free of any debris, snow and ice and reported to maintenance personnel. Must ensure the designated smoke area is utilized only by the Lodge residents. Ensures health and safety for the employees and residents. Participate or performs other administrative and operational duties as requested by the Health Director Monitor the janitor supplies to ensure the items are environmentally friendly and safe. Monitor and assist as needed, ensuring laundry, laundry equipment is being properly and appropriately utilized in laundry. Monitor the laundry to ensure that it is being washed properly.

Accreditation -



Review the most recent Accreditation Report to ensure the report coincides with the recommendations received. Review of the applicable standards and prepare for the self-assessments. Review the ROP'S report, strategic plans to ensure the activation of the plans and recommendations at staff meetings. Assist and participate in the Accreditation processes. Ensure all employees participate in the Work/Life and Client Safety Culture Surveys. Shall adhere to recommendations.

RECREATION -



Assist w/daily morning stretch exercise session.

Accompany on outings as may be required.

Arrange outings.

Arrange and accompany to lessons according to individual service plans and as may be required, i.e., swimming lessons.

Arrange transportation as may be required.

Get license to be able to drive handi-bus.

REQUIREMENTS -



Must exercise judgment and discretion in sensitive, controversial and/ or confidential matters. Must have good working knowledge of computers, software, and related programs. Sign an Oath of Confidentiality Willing to take training required to enhance current skills. Must adhere to Policies and Procedure Manuals Must participate in Emergency Response Operations Must possess good interpersonal skills. Other duties as requested. Must encourage, promote, and participate in team work. Must be available 24/7 to address emergencies, concerns and/or other issues.

OTHER -



Assist in other activities as may be required upon request of the Health Director, i.e., Health Fair, etc. Perform other duties as may be required and/or requested and upon the request of the Health Director. Participate or performs other administrative and operational duties as requested by the Health Director Must encourage, promote, and participate in team work. Willing to take training to enhance current skills.

QUALIFICATIONS:



? Possess administration, operational, supervisory, delegation and employee management skills and experience. ? Possess good communication, grammar and writing skills. ? Capable of working with no or minimal supervision ? Possess leadership and conflict resolution skills. ? Demonstrates innovation, creativity, flexibility, and Openness to new methods/ ideas. ? Positive attitude and neat in appearance ? Must have First Aid & C.P.R. certification. ? Produce a criminal check, CICIO, and must be renewed every two (2) years. ? Any Discrepancies on (CRIM) Check with Alexander Band Members will be dealt with by Health Director and if required Chief and Council ? Sign the Employee Confidentiality and Non-Disclosure Agreement. ? Must have a valid Drivers' License and Vehicle. ? Must have Third Party Liability insurance on private vehicle. ? Sign an "Acknowledgement Form" acknowledging the understanding of all the Keehewkamik Policies and Procedures, Regulations etc. ? Knowledge and use of computers and software ? Commitment to resident satisfaction, and excellent interpersonal skills ? Understanding or speaking the Cree language would be an asset. ? Knowledge of geriatric care would be an asset. ? Social Work degree, Psychology or Mental Health background would be an asset. HCA CERTIFICATION WOULD BE AN ADDED ASSET TO YOUR MANAGEMENT EXPERIENCE

Pay: $21.86-$43.72 per hour
