Position Overview

The Operations & Maintenance team under Facilities Management is currently seeking a Full-time Regular Maintenance Supervisor.

The Facility Maintenance department, as a part of Operations & Maintenance, is responsible to ensure that building structures and systems for all University owned and leased properties are operated and maintained in a reliable, efficient and cost effective manner to ensure a safe and comfortable work environment in which campus users can carry out their activities. The Campus is divided into six operating zones.

The Maintenance Supervisor will oversee all aspects of maintenance and repair work within assigned departmental units. The Maintenance Supervisor will oversee the distribution and completion of work orders provided from our Customer Care Centre (CCC) by managing a multi-disciplinary work team that may contain Lead hands, Plumbers, Electricians, HVAC Technicians, General Maintenance Workers, Maintenance Planners, Millwrights, Carpenters, Locksmiths, Life Safety Technicians, Parts Technicians, Administrative Professionals and others. The position works cooperatively, in a team-based environment, providing leadership, support and guidance. Assistance will be provided to the other work units as required to support the overall needs of the University.

This position reports to a Zone Facility Manager or the Manager, Maintenance & Planning and is accountable for supervision of staff including hiring, delegation of work, performance management, and disciplinary action up to and including termination. Work is performed with minimal supervision. There is a substantial impact of error because of the quality standards expected as outlined in the departmental Service Level Agreement (SLA).

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Supervises day to day operations of building maintenance programs in meeting or exceeding the departmental Service Level Agreement (SLA) and providing a safe and reliable work environment for multiple tenants.
  • Receives and evaluates incoming work requests, determines urgency of request, assigns work to staff, allocates tools, equipment and transportation as required.
  • Ensures that preventive maintenance programs are developed and completed on time.
  • Discusses with staff the nature and appropriate approach to specific jobs, including code requirements, department policies, standards and specifications, and priorities.
  • Ensures staff have appropriate and required safety training, PPE, comply with the Environment Health and Safety Program, and monitor safety standards and coordinates workplace inspections.
  • Ensures that all the safety equipment is properly calibrated, tested, inspected for defects, is kept in good working order and that all the staff are trained on the proper use of that equipment.
  • Is responsible for all aspects of onboarding for new staff.
  • Monitors ongoing work in progress, ensuring work is completed as scheduled or investigating and recording reasons for delays and inefficiencies.
  • Provides estimates for maintenance repairs, upgrades or renewal.
  • Ensures that the respective Zones or work units are operated effectively to meet its objective of maintaining the campus components and systems to optimum levels.
  • Translates goals and objectives into specific work assignments for completion by staff or contractors as appropriate.
  • Works with the Zone Facility Manager or the Manager, Maintenance & Planning as required to develop and report on Facility Performance Indicators (FPIs) such as: work order turnover, attendance, customer service, P.M.s, etc.
  • Ensures that staff and contractors have the information, tools, and equipment necessary to be successful in their work.
  • Ensures that staff and contractors are aware of all University, department and unit policies, processes, procedures and practices that will impact them or their work.
  • Monitors and approves staff timesheets and ensures accuracy of the entries.
  • Ensures staff are aware of training and development opportunities, and provides guidance to staff in this area.
  • Models behaviour expected of staff, including timely reporting for start of shift, regular work attendance, and attire are appropriate for the campus working environment.
  • Ensures staff understands the measures by which continuous performance will be monitored, sets goals and objectives, and coaches and mentors staff to meet these performance measures.
Qualifications / Requirements:
  • Provincial or Interprovincial (Red Seal) Trade Certification and/or Engineering Technician/Technologist Diploma required.
  • 7-10 years of demonstrated experience in a trade, preferably in an educational/institutional setting.
  • A minimum of 3 years of recent demonstrated strong supervisory experience.
  • Demonstrated leadership and supervisory training required.
  • A certificate in facilities management such as IFMA Facilities Management Professional (FMP), BOMA Facilities Management Administrator (FMA), and/or APPAs Certified Educational Facilities Professional (CEFP) would be an asset.
  • Must have a good working knowledge of other trades.
  • Must be a leader able to motivate staff and deal with staff concerns, problems and issues.
  • Must be thoroughly familiar with applicable building codes and be able to read and interpret blueprints and specifications.
  • Must be able to read and interpret contract documentation and to deal with contractors.
  • Must be able to assess and solve problems, or to request assistance to solve an issue before it escalates.
  • Must have a proven record of learning and upgrading technical skills and leadership skills.
  • Must have proven record of providing superior customer service including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Must be able to listen to and understand information and ideas presented and have ability to communicate information and ideas so others will understand.
  • Must be able to produce clear, concise reports.
  • Must be able to manage own time effectively.
  • Must have intermediate level computer knowledge and be able to use Microsoft office suite including Word, Excel, and Outlook.
  • Must be able to use a Computerized Maintenance Management System. Knowledge of the ARCHIBUS-FM system would be an asset.
  • Must be adept at mobile communication devices, such as the iPhone/iPad.
  • Must hold a valid minimum Class 5 Alberta Operators License with less than 7 demerit points. Learners, probationary, graduated license, or motorcycle/moped only license will not be acceptable. Drivers abstract will be requested.
