The Maintenance Coordinator is the central link between JDE Property Management, suppliers, residents, tenants, and condo boards for all day-to-day maintenance activities. This role keeps the maintenance workflow going. It includes tracking issues in Building Stack, scheduling contractors, performing inspections, communicating progress updates, and ensuring that work is completed to JDE standards.
Duties
A. Work Order Management & Tracking
Monitor and update all maintenance tickets in
Building Stack
daily.
Prioritize work orders based on urgency, safety, and building needs.
Maintain an
Action & Issue List
with real-time status updates.
Close work orders after confirming completion, photos, and documentation.
B. Contractor & Supplier Coordination
Schedule contractors and suppliers for repairs, inspections, and installations.
Communicate scope of work clearly to contractors (supported by photos, notes, and checklists).
Follow up on quotes, timelines, and work progress.
Ensure contractors adhere to JDE quality, safety expectations, and access rules.
D. Communication & Customer Service
Respond to emails and phone calls from owners, tenants, board members, and contractors.
Provide timely updates on maintenance status, delays, or safety concerns.
Draft clear notices for residents about upcoming work or disruptions.
E. Administrative Support
Prepare Work Orders and Purchase Orders for contractors and suppliers.
Assist with updating JDE maintenance procedures and workflows.
Maintain digital records of invoices, quotes, warranties, and contractor reports.
Support property managers with special projects and seasonal maintenance planning.
Prioritize work orders based on urgency, safety, and building needs.
Qualifications
Strong organizational skills; able to manage many small tasks without losing the thread.
Excellent communication skills, both written and verbal.
Basic technical knowledge of building systems (plumbing, HVAC, exteriors, common-area equipment).
Ability to work independently, make decisions, and problem-solve on the fly.
Comfortable using digital tools: Building Stack, Google Workspace, mobile apps for documentation.
Experience coordinating contractors and understanding quotes/scope documents.
Ability to travel to properties when needed.
Work Schedule & Expectations
Must respond to urgent maintenance matters promptly.
Occasional weekend or evening communication may be required for emergencies.
