We are looking for a Mail Operations Assistant to join our Mailroom team. If you enjoy a dynamic, fast paced and collaborative team environment, we want to hear from you!


Hours of work:

Monday to Friday, 9:00 a.m. to 5:00 p.m.


Key Responsibilities:




Process all incoming packages, couriers, and regular mail following established tracking and delivery processes. Liaise with building courier office for timely deliveries Process all outgoing mail and couriers following established systems, processes, and equipment while actively seeking cost reduction by providing Firm members with cost effective alternatives that meet their needs. Liaise with building courier office for timely pick up that meet Service Level Agreements Maintain all courier documentation related to specific charge back/file details. This includes specific package costs varying in size, destination, special instructions, etc. Arrange for specialized services as required for special deliveries, specialty mail pick-ups, etc. while maintaining all records as required Pick up and delivers incoming and outbound or internal mail throughout the office several times per day, and processes all mail appropriately Responsible for all duties pertaining to receiving and transmitting electronic faxes, including logging and delivering to appropriate Firm members, and route electronic faxes to appropriate parties within Stikeman Elliott offices Collect incoming and outgoing mail from the Canada Post facility from Commerce Court shared mailbox area and complete all related sorting for incoming/outgoing mail distribution Assist in processing vendor invoices including determination of file numbers for disbursement of shipping charges, along with accuracy of applicable charges Provides exceptional customer service by communicating with internal and external customers and vendors in a friendly, professional and helpful manner at all times Collaborate with team members in the upkeep and preparation of various logs and data compilation for volume reports provided monthly Perform miscellaneous errands such as picking up and delivering supplies, delivering messages and/or materials as required Carry out minor maintenance on equipment and arrange necessary servicing Monitor supply order system and fulfill/deliver orders to internal customers Responsible for maintaining all Mailroom supplies and place requisitions for required stock to be replenished Back-Up for Facilities department, providing relief and support as needed for special projects or activities associated with the office environment Other duties as assigned

Qualifications:




Knowledge and Experience




Knowledge of Microsoft Office Suite Superior Customer Service and communication skills Ability to multi-task and remain calm and positive during busy periods Strong team player who can also work independently Previous experience in a high-volume mailroom environment is an asset Ability to perform physical tasks (lifting, pulling, pushing, etc.) Willingness and ability to work overtime, as occasionally required
