Lockshop Coordinator

.



This position reports to the Team Lead, Lockshop, and is responsible for ensuring that building structures and systems for University-owned and leased properties are operated and maintained in a reliable, efficient, and cost-effective manner to ensure a safe and comfortable work environment in which campus users can carry out its activities.


Work is performed under minimal supervision. Impact of error, level of concentration, and stress are high. There is a high volume of work and stressors, working in a noisy shop environment, juggling shifting priorities. The normal shift is 7 hours per day, five days per week, Monday to Friday, from 8:00 am - 4:00 pm. Work is onsite; Remote/Hybrid work is not available.

Summary of Key Responsibilities

This position acts in an advisory role, coordinating lock and key-related services, communicating with the campus community (faculty, staff, contractors). The Lockshop Coordinator works in a team-based environment, with locksmithing personnel performing the following tasks:

Frontline technical support. Advises and supports University faculty, department, and office management on lock and key related issues. Advise on processes: authorization, key & spatial ownership, security and safety requirements. Prioritize, coordinate, process, and delegate service requests to in-house and contract personnel, meeting schedule and priority constraints. Use technical ability and knowledge to cut keys and supply keys and hardware as required. Manage and update databases (ARCHIBUS, Simple K, Excel spreadsheets). Adhere to all University Policy and Procedures. Responsible to maintain integrity of and advise on procedures. Aids in compiling UofC Lock & Key Policy and Procedures documentation. Responsible to maintain and advise on U of C Lock & Key Policy and Procedures when enacted and initiate corrections when needed. Responsible for advising and maintaining Facility Services Roof Access Standard Operating Procedure.

Project Management

Receive service requests - perform preliminary needs assessment/prioritization.

Advisory/Liaison to campus community pertaining to:

Interact with requestor on authorization/space ownership. security and safety requirements. Requestor completion timelines. Delegate to locksmith(s) in emergency situations using Microsoft Teams or Text Outs. Coordinate re-keying of one, to multiple doors, to one or more floors (number of doors, locks, lock functions, locks keyed alike or different keying levels. Caretaking and Campus Security access;
o Number of keys required; completion timeline; contact, special notations, key delivery information.
Repairs / Hardware issues. Advise/recommend on repair and hardware options, lock functionality changes. Coordinate Projects / Workload. Organize revised request for locksmith(s). Update and complete paperwork/databases. Prioritize Work Requests and allocate to staff or service contractor locksmith(s). Consider variables which need to be prioritized: recall issues, completion timeline, project-specific issues, present workload, and locksmith areas of expertise.

Client Services / Customer Relations

Supply keys and hardware as required. Differentiate and advise upon temporary and permanent key allocation. Temporarily allocate keys to staff or service contractors, contract personnel as required, for general daily use or access. Deal with suppliers on hardware/key-related issues. Communicate the denial of access based upon not following documented procedures, etc. Advise on processes, authorization/ordering/deadlines / Lost & Found keys/key & space ownership. Key Cutting / Duplicating using hand tools and machinery. Cut keys - if locksmiths are unavailable or occupied with more pressing matters.

Special Projects

Represent lock and key issues when business system modifications occur or when developing Lock Shop procedures or systems. Lock and key issues when attending meetings relating to inter-departmental systems or procedural changes. General advisory role in attending meetings relating to inter-departmental systems or procedural changes.

Environment, Health & Safety

Meets all ongoing Environment, Health & Safety (EH&S) initiatives, follows University EH&S policies, procedures and Occupational Health & Safety Legislation as required; ensuring personal, public and co-worker safety when completing tasks or engaging in potentially hazardous situations. Has knowledge of and understands the expectations of the Universitys Environment Health and Safety Management System (EH&SMS) and applicable Faculty/Departmental/Unit specific health and safety policies and procedures. Ensures that all work conducted is in accordance with the Alberta Occupational Health and Safety Act, Regulation and Code and other health and safety legislation as applicable

Qualifications / Requirements:



Grade 12 GED. Completion of office assistant, administrative experience with locksmithing (definite asset), or several years related office experience working in a fast-paced ever-changing environment. Ability to lead and direct others and manage project-related tasks. Demonstrate highly developed written and verbal communication skills, working and managing own and others time effectively, in a team environment. High Proficiency with Microsoft Office Suite. Familiarity with University of Calgary as well as knowledge of ARCHIBUS and Simple K applications would be a definite asset. Knowledge of or ability to become skilled at lock & key related issues such as reading floor plans, comprehending hardware functionality, key bitting lists, and Master Keying System. Demonstrate physical and manual dexterity for the proper, safe use of key cutting / duplicating stamping machines, hand tools (i.e. pliers, vices, hammers) on a regular basis. Requires a person of self-confident nature, high customer relations skills with an emphasis on accuracy, confidentiality, process and problem-solving skills. Strong typing abilities with outstanding speed and accuracy. A speedy typist with a knack for accuracy is an asset.
