POSITION SUMMARY Live-in Resident Managers (a team of two preferred) are required to help manage an apartment building in Fort Saskatchewan with 37 suits. Our Resident Managers, available during the week, weekends, evenings, and holidays ensure prompt and effective responses to our residents' inquiries. To provide our residents with a pleasant and secure living environment with regular service, equipment inspections and security while maintaining a clean and well-maintained building and property. Competitive monthly compensation for regular building management and responsibilities and an hourly wage as per experience for some additional building maintenance. Building Management Duties and Responsibilities ? Live on-site/on-call requirements include but are not limited to answering phone calls, emails, and door inquiries regarding current tenants and prospective tenants. ? Respond to inquiries regarding; tenant communication, maintenance issues, emergencies, after-hours complaints, showing vacant suites, maintaining building quality standards, etc. ? Practice excellent resident relations to ensure concerns and complaints are dealt with promptly and professionally to ensure long-term tenancies by responding to all resident inquiries and concerns within a 48-hour window and handling resident concerns and inquiries with a goal of 100% satisfaction. ? Daily Duties: Vacuum the lobby, hallways, and stairs, clean lobby windows, and remove the trash. Clean laundry rooms, including washers, dryers, lint traps, sinks, counters, and floors, and remove the trash. Ensures all outside entrances to the building are clean and tidy. Inspect parking lots, sweep and tidy as required. Check all floors for burned-out lights and debris and clean as required. Perform frequent security patrols of the building and property. Inspect fire alarm systems for any anomalies. Complete boiler and mechanical room safety and operational checks. ? Collect monthly rent, create monthly rental documentation and deposit into the bank. ? Monitor rent collection for all residents striving for zero arrears each month and, when needed, ensure any outstanding rent in arrears is collected and deposited into the bank. ? Maintain and file all digital documents online and physical files within the office to ensure that all documents and files are filed orderly, accurately and on time, and preserve all resident information in accordance with privacy regulations and legislation. ? Communicate respectfully and courteously in all dealings with residents and applicants, including cautions to residents regarding complaints about excessive noise, disorderly conduct, or misuse of property and relay any problems or concerns to the Head Office. ? Effectively manage the termination of residents concerning substantial breach, non-payment, or behavioural issues ? including legal process per the Alberta Residential Tenancies Act. ? Ensure resident move-ins and move-outs are proficient and efficient, including well-detailed and accurately complete documentation and procedures per the Alberta Residential Tenancies Act. ? Maintain a comprehensive and up-to-date knowledge of all properties, including availability, vacancy, rental and deposit amounts, suite layouts, common areas, amenities, parking, etc. ? Show available suites and provide prospective residents with an application. Applications are reviewed and approved within 24 hours of receipt of the application if they are deemed a good fit for the building. ? Occasionally, assist in filing any legal actions regarding tenants through the Residential Tenancies Dispute Resolution Service. ? Perform any other duties and responsibilities as assigned by Office Manager or General Manager. Building Maintenance Duties and Responsibilities ? Deal with building emergencies such as leaks, no heat, and appliances not working. ? Perform minor and routine repairs, painting, plumbing, and other related maintenance to the building and equipment as needed. ? Maintain the snow removal and de-icing as required. ? Landscape and maintenance of building grounds and property. ? Supervise and assist with waste management, recycling, and hazardous materials issues. ? Immediately report any infractions, damaged equipment, hazardous conditions, or equipment to Management. ? Conduct periodic and pre-move inspections and coordinate required maintenance work as necessary. ? Prepare vacant suites for new residents by completing necessary repairs, upgrades, cleaning, and painting. ? Monitor suites to ensure effective scheduling of month-end turnover and suite renovations within the properties and within a pre-determined timeframe to ensure minimal downtime and vacancy loss. ? Suggest or recommend improvements, alterations, upgrades, or replacement equipment or systems integral to the building to General Manager. ? Implement in collaboration with General Manager to develop the scope of renovation plans, supplies needed, permits and licenses required and timelines for completion. ? Gather quotes when requested regarding hiring contractors, purchasing supplies, equipment and appliances and present quotes to General Manager for approval. Ensure all contractors are WCB compliant and follow up with contractors on all jobs that have been completed. ? Schedule and assist with fire and equipment inspection and ensure all inspection reports are current and comply with regular fire and life safety standards, including monthly testing and annual drills. ? Ensure compliance with all legislation (Municipal, Provincial and Federal), including but not limited to the Residential Tenancies Act of Alberta, the Alberta Labour Relations Code, Alberta Occupational Health and Safety Act, Alberta Minimum Housing and Health Standards, and Alberta Fire Code. ? Comply with all requirements when municipal, provincial or federal authorities issue a Public State of Emergency. Knowledge, Skills and Abilities ? Detail-oriented with strong attention to detail. ? Ability to work independently with minimum supervision to plan, organize, prioritize, and multitask in an environment subject to moderate to high-stress levels in emergency or conflict situations. ? Physical Requirements / Working Environment ? Ability to physically paint and clean, including bending, stooping, kneeling, pushing, pulling, and lifting up to 25 kg. ? Ability to work in inclement weather or uncomfortable environmental working conditions. ? Ability to spend hours walking, standing, climbing stairs, and lifting. ? Ability to maneuver and operate heavy equipment with the proper safety requirements. Educational and Experience Requirements and Qualifications ? High School Graduate, Post-Secondary Education or industry experience is required. ? General knowledge of the Alberta Resident Tenancies Act is required. ? Experience working with hand tools and having a basic set of hand tools is required. ? A valid class 5 driver's license and a reliable working vehicle are required. ? Experience dealing with cheques, handling cash, recording and making bank deposits is required. ? Must pass a Criminal Record Check. ? 2 to 5 years of previous experience in multi-residential property management would be an asset. ? Previous experience in housekeeping and common area cleaning would be an asset. ? Experience in presentation and sales skills is necessary to market suites to prospective residents would be an asset. ? Some knowledge of building systems and building maintenance is preferred. ? An intermediate knowledge level of Microsoft Office is preferred. ? two years of customer service experience is preferred.
