Responsibilities




Reporting to the Manager of Operations, the Library Service Clerk provides frontline services at the Library Service Counter, supports the successful operations of the Education Resource Centre/Centre de ressource en Education (ERC/CRE) and the J.N. Desmarais Library by providing courteous, efficient and bilingual services to the university community, and performs tasks associated with maintaining and promoting the library collection.


From September to April, this position requires working at the J.N. Desmarais Library in the morning and at the Education Resource Centre/Centre de ressource en Education (ERC/CRE) in the afternoon. From May to August, this position requires working mostly at the J.N. Desmarais Library.


Deliver exceptional customer service and perform all circulation duties Charging and discharging library materials, assigning a due date to loaned items, returning loans, issuing replacement bar codes, emptying and processing items from book drops and courier boxes, record the circulation of resources (loans, returns, etc.) in the Library Management System, Omni; Assist library patrons in finding the various resources needed, provide information concerning general library policies and procedures; refer, as appropriate, reference inquiries to a library assistant or to a librarian; Assist, as needed, at all library locations, the School of Architecture Library (downtown), on campus at both the main Library and the Education Resource Center, providing circulation functions coverage during staff absences; Contact patrons concerning matters such as overdue items, recalls and the arrival of items on hold; Collect and record payments for various fines and fees, take payments in person or over the telephone, assist with mailing out invoices; Perform opening and closing duties according to the established procedures, collecting usage stats as required; Offer training and guidance to Student Assistants and Work-Study students as lead hand, to ensure consistency in practice and exceptional customer service; Receive, sort and distribute mail, unpack and check new material deliveries, prepare items for shipping with Canada Post, CanPar, etc., order supplies, troubleshoot system for mail out issues, mail out and receive interlibrary loans (ILL) and Shared Resources requests; Answer telephone, voicemail messages and email inquiries; conduct photocopying, scanning, and maintain the stock of library supplies; Work proficiently with computers, various software applications, and the Omni program specifically; Remain up to date with technology, policies, procedures, resources and professional development through communication with manager, co-workers, library website, training opportunities, etc.; Maintain the collection of materials and resources; Performing shelving, shelf reading, shifting or relocating books, inventory, creating call numbers, repairing library materials, place security sensors in library materials and monitor the security system, perform search requests for missing books by verifying call numbers and inventory status, assist with processing and repair of library materials; Monitor compliance with library regulations, monitor noise level, work tactfully and courteously with individuals who may violate library rules to maintain an atmosphere that is conducive to a studying environment; Ensure the library public spaces remain tidy and safe by maintaining orderly shelves, refilling displays, putting up signs, performing light cleaning and/or organizing tasks, and reporting general housekeeping or other issues requiring immediate attention or repairs; Participate in seasonal or special projects, events, etc.; and Perform other duties as assigned.

Qualifications




Requires two (2) years post-secondary level education and/or prior library work experience; One (1) to three (3) years' experience in customer service; Experience with full-stack web development; Linux system administration; and programming in Python, Java, or PHP is an asset Experience in an academic library setting would be an asset; Ability to work shifts, day or evening shifts, weekdays, during the academic year (September to April) is required; Proficiency in using a computer and software including, Excel, Gmail, Google suite, Microsoft Suite, Internet, etc., and ability to learn specialized computer applications (library management system, Omni); Strong communication and interpersonal skills, ability to deal with the public in a courteous and professional manner; Proven ability to work as part of a team and independently with minimal supervision; Ability to maintain discretion and confidentiality and use appropriate judgment in handling information and records; Attention to detail, good organizational skills, show initiative and have the ability to adapt to a changing and diverse environment; Ability to work at different library locations, (on campus and downtown); Ability and means to travel to different library locations (on campus and downtown); and Ability to work fluently, verbally and in writing, in both official languages, French and English is required.

THIS POSITION IS DESIGNATED AS ONE THAT MAY REQUIRE A DIFFERENT WORK WEEK AND/OR HOURS OF WORK.




The current Schedule is Monday to Friday, 8:30 a.m. to 4 p.m. (summer hours), or Monday to Friday, 9 a.m. to 4:30 p.m. (winter hours). Upon four weeks' notice, the work week and/or hours of work may be changed. (This may include evening and/or weekend shifts.)
