Library Business Manager

Job Description

Jake Epp Library is looking for a financially minded and highly organized individual who enjoys administrative tasks as well as fundraising and advocacy. In their role they will be in charge of budget management, grant applications, fundraising, and general running of the business side of the library. They will answer to the Library Director who will work with them to maximize use of the library budget.

Detailed task breakdown:



1. Finance

Assist in creation and maintenance of the annual budget Work with accountant to: Pay bills Pay wages Ensure year end is completed in time for the audit Do weekly cash reports and deposit money at the bank Relay all purchases, invoices, receipts to accountant Ensure all receipts for credit card statements are accounted for Supervise supply ordering for library operations Ensure all purchases stay within budgets Seek out and apply for grants in all areas of the library to make the most of the library budget Present to funding bodies (i.e. Steinbach City Council) annually to ensure they are aware of the library's financial needs, petition for raises in funding when necessary (in conjunction with the Library Director) Renew or revise existing work contracts as necessary (tech support, photocopier rental, etc.) Submit monthly financial reports and attend board meetings to answer financial questions
2. Library Maintenance

Identify maintenance needs of building, building contents, and grounds Arrange for maintenance and repairs Liaise with tech support as needed (printer maintenance, laminator, computer issues, etc.)
3. Administrative

Oversee the rentals of public spaces Oversee janitorial staff to ensure the space is clean and they have the required supplies Order and maintain office and library supplies
4. Forward Planning

Create and maintain a 5-year budget plan in conjunction with the library director, adjust as necessary
5. Correspondence

Organize files Keep financial records in order, ensure files are kept for the correct amount of time and properly discarded when no longer needed Discard correspondence as necessary
6. Programs

Oversee budgets for all programs Apply for and assist with implementing grants for programs to make the most of the programs budget
7. Schedule exam bookings

8. Plan and implement fundraising events

9. Meetings

Attend management team meetings, staff meetings, and board meetings as necessary
10. Other tasks as assigned by the Library Director

Qualifications:



Post-secondary education in Business Administration, Administrative Assistant, or related field is an asset Previous experience in fundraising is an asset Grant writing experience is an asset Experience with budget management is an asset Event coordination experience is an asset Previous QuickBooks experience is an asset

Knowledge and Abilities



Strong communication skills, both verbal and written Strong financial literacy Excellent organizational and time management abilities Ability to support the principles and ethical standards of the library profession Exercise initiative and make independent decisions Ability to learn and use a variety of software and a proven ability with Microsoft Office Ability to create and maintain filing systems and maintain confidential records and files Knowledge of professional standards and best practices in accounting, office management, and records management is an asset Creative problem solving and strong advocacy skills
