Position Title

Library Assistant, Electronic Resources and Serials (2 positions)


Position Summary


The Library Assistant, Electronic Resources and Serials primary focus is the negotiation of licenses, acquisition, cataloguing, access, and maintenance support related to electronic resources, serials, and periodicals in print format, and claiming and payment for these collections and maintenance and support of the Digital Repository. Additional responsibilities may include performing physical processing, performing priority processing and troubleshooting, maintaining records and minor repairs of materials.

This position is part of a larger team of service providers in the Division of Student Success that delivers welcoming, responsive, and proactive library service, both in person and virtually, to RDP students, faculty and staff and the Central Alberta community. This position exists in a cross-trained learner-centered environment which provides resources, technology and support for creation, collaboration, and lifelong learning. The integrated service model requires all employees to use strong communication, teaching, organizational, analytical, and problem-solving skills to facilitate access to services, direct enquiries appropriately and engage students in their learning.

Position Responsibilities


Acquisition of Library Materials and Resources



Maintains a strong knowledge of Library acquisition tools, vendors, and procedures for orders. Creates purchase orders based on yearly costs for different vendors and monitoring budgets for fund availability Investigates pricing, availability and secures appropriate rights (public performance, copyright) and / or licenses and access setup requirements, as required Liaises with and selects appropriate vendors/suppliers for electronic, and print or physical library resources and creating access for digital resources Inputs order information into the Integrated Library System (ILS), creates catalogue records and purchase orders, as necessary, using the appropriate tools and checks for current titles and duplication of orders





Catalogue and Holdings Maintenance



Monitors and maintains access and functionality of electronic resources on site and remotely and communicates outages to users and vendors Organizes and maintains periodical and serials collections, including shelf revision and claiming missing and following up on duplicate issues Collaborates with Library Assistants to process and maintain the shelving of current and back issues of periodicals Updates bibliographic and related records and modifying records as necessary to reflect and ensure current library holdings are searchable and accessible in NEOS catalogue and the discovery system Corresponds with vendors, consortia partners and other libraries regarding catalogue records as appropriate and documents and communicates problems with vendor-supplied records



Cataloguing and Processing Library Resources



Creates links and holdings for electronic and print serials in the shared catalogue Creates and maintains electronic resource entries on the master A-Z Databases list Understands and applies the processes and standards for original and copy cataloguing for print and non-print materials, including MARC, LC classification and Subject Headings, AACR2, and RDA Creates and verifies item records in the library catalogue (original and copy) Follows established practices and NEOS standards, maintaining the integrity of library cataloguing data and performing database maintenance activities for RDP materials within NEOS, including print, audio-visual, and electronic resources, and ensuring record data accurately reflects current library holdings



Library Service Desk Support



Determines patron needs: answering questions and directing enquiries - in person or virtually - to other staff or areas of the Division of Student Experience, RDP services or other areas on campus as appropriate Orients patrons to the library's online presence, services and spaces located within the library, and provides services that respond to the needs of patrons with disabilities (e.g. assist at the lower desk, use assistive technology etc.) Uses the Integrated Library System (ILS) to create or update memberships, place holds, check-out, renew, or discharge library materials / equipment and fill NEOS holds and / or process Interlibrary Loans (ILL) Communicates policies and procedures, informing patrons of account or item issues, and resolving or escalating patron account issues to the Library Coordinator as required Handles and processes cash, debit and credit payments for fines, lost book charges or loading money onto iCards



Digital Repository



Builds new and maintains existing Institutional Repository (IR) collections Customizes and implements of processes within IR, as required Assists with the creation of IR-related workflows Maintains and quality-checks metadata standards Ensures IR submissions meet submission guidelines


Required Qualifications


Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent.



Preferred Qualifications


3-5 years working in a library in a cataloguing or acquisition role Knowledge of vendors and consortiums (such as NEOS, TAL) and their ordering / licensing systems for books, databases and other electronic resource providers Knowledge of library automated systems as they apply to book and database processing and cataloguing processes (original and copy) and standards for print and non-print materials, including MARC, LC classification and Subject Headings, AACR2, and RDA Knowledge of copyright, licensing and Public Performance Rights Knowledge of research resources and processes at an academic level, as well as demonstrated ability to provide excellent reference service Knowledgeable in library and computer software, such as content management, article databases, library catalogues, Discovery and Proxy systems, Repository systems, SSL, MS Office, O365 and multimedia software Ability to work in a changing, progressive, team orientated environment Ability to make judgement calls regarding application of library procedures and be held accountable for the impact of those decisions. Demonstrated life-long learner Excellent interpersonal communication skills Problem-solving and organizational skills Strong customer service orientation and experience promoting library resources (both in person and online) Strong self-motivation and initiative Previous experience working for Red Deer Polytechnic Library may be considered an asset
